Job Overview:
The Project Assistant will provide administrative support for State assessment projects.
Job Location: This person will be working at the Honolulu, HI Cambium Office
Job Responsibilities:
- Provides general administrative support.
- Schedules meetings and maintains calendars.
- Develops and maintains efficient filing and tracking system for the projects.
- Prepares meeting agendas including gathers discussion topics, drafts, and circulates and finalized agenda.
- Provides meeting support, including the following:
- Selecting venues including contracting with caterers, audio-visual teams and transportation
- Drafting and sending out meeting invitations
- Managing logistics including arranging travel, lodging and parking.
- Overseeing the meeting by making sure the meeting room is set-up correctly, handling unexpected issues and making sure the meeting is running smoothly.
- Prepares meeting expense vouchers, travel reimbursements and invoices and submits to CBO.
- Assists with production and assembly of reports, presentations, and meeting materials.
- Performs general office tasks including photocopying, faxing, phone calls, e-mail, Federal Express.
- Works with web-based documentation system.
- Other duties as assigned.
Job Requirements:
- Bachelor's degree preferred
- Excellent verbal and written communications skills
- Flexibility and ability to consistently meet deadlines
- Ability to work independently as well as part of a team
- Acute attention to detail and strong work ethic
