Job DescriptionThe High School Registrar manages incoming and outgoing high school records and maintains high school credits on student transcripts.
ESSENTIAL FUNCTIONS: Reasonable accommodations may be made to enable individuals with disabilities to perform the essential duties.
- Requests and tracks incoming records for newly enrolled high school students, following the state requirements
- Maintains accurate transcripts and provides quality assurance
- Fulfills records requests for withdrawn students within prescribed time frames
- Creates and maintains student cumulative files and other student records; audits for accuracy on at least an annual basis; establishes and maintains secure access to student records; ensures proper disposal of student records
- Scans and uploads student records to electronic document management system
- Serves as primary point of contact for high school families, staff, and other schools in regards to student information and records
- Assists in routine administrative duties including, but not limited to, preparing and maintaining transcripts and records release forms; managing SAT and ACT score reports; ensuring high school student 504 documents are distributed to 504 Coordinator; preparing and managing compliancy forms, including, but not limited to, DMV, Social Security, and Health and Welfare forms, sends RR out to DE schools for both 1st and 2nd semesters, post the credits earned, and fax the cumulative transcript back to DE school
- Tracks high school student withdrawals
- Serves as IDLA site coordinator, registers students for fall, spring, summer sessions, post final grades, sends progress reports to counselors, principal, posts IDLA final grades, uploads the grade reports, approves IDLA invoices and sends to Office Receptionist who sends to our billing dept, informs College Career Advisor of any of red flags in AO Portal
- Finish year end procedures: final HS transcripts mailed to graduates, mail out diplomas to graduates and cords for those who didn’t attend ceremony, mail out the final transcripts to colleges per graduate’s requests on DocuSign forms
Supervisory Responsibilities: This position has no formal supervisory responsibilities.

MINIMUM REQUIRED QUALIFICATIONS:
- High School Diploma or GED
- Ability to pass required background check
Certificates and Licenses: None Required.
OTHER REQUIRED QUALIFICIATIONS:
- Excellent communication skills – written and verbal
- Strong interpersonal skills for communicating effectively with parents/guardians, students, and school staff.
- Great organizational and time management skills
- Proficient in Microsoft Outlook, Word, Excel; general computer/web proficiency; familiarity entering/retrieving information in a database
DESIRED QUALIFICATIONS:
- Bachelor’s Degree
- Three (3) years relevant professional experience
- Familiarity with local/state/federal laws and reporting
