Renewal Specialist 
 
Location Requirements: This position is hybrid to the Naperville office. 
 
Your role on the team:  
The Renewal Specialist plays a key role in driving client retention and revenue growth by managing contract renewals across K–12 school districts. This position ensures timely, accurate renewals while maintaining strong relationships with district partners. The ideal candidate is detail-oriented, skilled in negotiation, and thrives in a collaborative, data-driven environment that supports long-term customer success. 
 
You can expect to: 
1. Contract Renewal Management 
  • Manage and track upcoming contract renewals across K-12 school districts to ensure timely renewals. 
  • Prepare, review, and send renewal quotes and agreements, ensuring they align with company pricing and policies. 
  • Work closely with internal teams to ensure smooth and accurate contract processing. 
2. Client Relationship Management 
  • Serve as the primary point of contact for K-12 school district administrators and procurement teams regarding renewals, pricing adjustments, and contract modifications. 
  • Maintain strong relationships with school district decision-makers to drive retention and long-term engagement. 
  • Address concerns related to pricing, contract terms, and product value before renewal deadlines. 
3. Pricing and Negotiation 
  • Collaborate with sales, finance, and legal teams to determine appropriate pricing for renewals, discounts, or contract adjustments. 
  • Negotiate renewal terms with K-12 school district clients, ensuring alignment with budgets and funding cycles. 
  • Identify upsell and cross-sell opportunities during renewal discussions to support district needs. 
4. Data Management & Reporting 
  • Maintain accurate contract data in CRM systems (e.g., Salesforce, NetSuite) to track renewal status, client communications, and pricing adjustments. 
  • Generate reports on renewal rates, revenue retention, churn risk, and contract trends for leadership teams. 
  • Identify patterns in renewal challenges and work with internal teams to address recurring client concerns. 
5. Collaboration with Internal Teams 
  • Partner with sales, advisory, finance, and legal teams to ensure smooth contract renewal processes. 
  • Communicate with sales and advisory teams to proactively mitigate churn risks among school districts. 
  • Work with legal and compliance teams to ensure contract terms align with district purchasing requirements and industry regulations. 
6. Customer Retention & Risk Mitigation 
  • Proactively identify school districts at risk of non-renewal and develop strategies to retain them. 
  • Address budget concerns, funding limitations, and contract hesitations by demonstrating software value and ROI. 
  • Escalate high-risk renewals to leadership or customer success teams when necessary. 
7. Process Improvement & Efficiency 
  • Continuously refine the contract renewal process to improve efficiency and client satisfaction. 
  • Identify automation or workflow improvements in contract management systems to streamline renewals for K-12 school districts. 

What you bring to the role:  
  • Proven ability to build and maintain strong relationships—both internally and with K–12 district partners—fostering trust, satisfaction, and long-term commitment.  
  • Highly organized and detail-oriented, with the capacity to manage multiple renewals, pricing discussions, and contract negotiations simultaneously. 
  • Skilled in overseeing the full renewal lifecycle—from quote preparation to execution and client communication. 
  • Proficient in managing a clear pipeline of renewals and retention efforts through CRM tools such as Salesforce or NetSuite. 
  • Analytical mindset with the ability to track key retention metrics, identify trends, and share actionable insights with leadership. 
  • Committed to continuous improvement through customer feedback loops that enhance retention strategies and overall client experience. 
  • Familiarity with K–12 purchasing processes, budget cycles, and funding sources is a plus. 

This role requires: 
  • 2-4 years of experience in contract renewals, account management, or sales within education technology, SaaS, or enterprise software. 
  • Strong negotiation, communication, and relationship-building skills. 
  • Proficiency in CRM tools such as Salesforce, NetSuite, or similar platforms. 
  • High attention to detail and organization, with the ability to manage multiple renewals and deadlines simultaneously.
