The School of Sustainable Engineering and the Built Environment (SSEBE) at Arizona State University is seeking a Research Advancement Administrator, Sr (RAA, Sr) to join our high-performing Pre-Award team. This role is an opportunity to make a direct impact on groundbreaking research by managing complex proposal submissions, guiding faculty through sponsor requirements, and mentoring Research Advancement Administrators (RAAs).

Essential Duties
Proposal Submission Management
  • Lead complex proposal submissions, including multi-investigator, multi-institution, and cost-sharing projects.
  • Interpret and apply sponsor guidelines to ensure compliance with institutional, state, and federal requirements.
  • Develop budgets and justifications, coordinate with sub-recipients, and prepare sponsor-ready applications in collaboration with the Office for Research and Sponsored Projects Administration (ORSPA).
  • Manage timelines, checklists, and deliverables to ensure accurate and timely submissions
  • Performing funding searches to help identify opportunities 
  • Preparing sponsor budgets, budget forms or creating acceptable budget formats; including cost sharing budgets and associated internal approval calculations 
  • Completing sponsor required forms and review for compliance 
  • Assisting with post submission action items requested by the sponsor such as Just In Time requests, revised budgets, scope of work, additional certifications
 
Leadership
  • Serve as a senior-level resource for faculty and research staff.
  • Support large-scale, strategic proposal opportunities requiring cross-unit collaboration.
  • Partner with sponsors to navigate nonstandard requirements and resolve complex issues.
  • Identify and implement process improvements that strengthen research advancement operations.
 
Personnel Management
  • Guide and train Research Advancement Administrators (RAAs) on proposal development, compliance, and sponsor requirements.
  • Share knowledge and best practices across the Research Advancement team to build capacity and consistency.
  • Provide guidance on workload prioritization and efficient proposal management strategies.
 
Communication
  • Build strong, service-oriented relationships with faculty, staff, and collaborators.
  • Anticipate stakeholders' needs and provide clear, proactive guidance.
  • Foster a culture of collaboration, problem-solving, and professionalism across the research community.

  • Experience training research administration staff.
  • Strong problem-solving, critical thinking, and time management skills.
  • Proficiency with Microsoft Office Suite, Workday, Research.gov, Grants.gov, NIH eRA Commons, and other sponsor systems.
  • Excellent interpersonal and communication skills with a focus on customer service.
  • Certified Research Administrator (CRA) certification is a plus.
  • Demonstrated knowledge of policies, procedures and requirements of all applicable regulations governing research administration (UG)
  • Demonstrated knowledge of research advancement in academia.
 
Working Environment
Activities are primarily performed in a regular, climate controlled office setting subject to extended period of sitting. Visual acuity and manual dexterity associated with daily use of desktop computer; bending, stooping, reaching and lifting up to 20 pounds. Ability to clearly communicate verbally in English, read, write, see, and hear to perform essential duties. Ability to work both independently or within a complex structured team. Normally receives no instructions on routine work and general instructions on new assignments with review of completed tasks. Exercises judgment within generally defined practices & policies in selecting methods & techniques for obtaining solutions.
