 I. JOB OVERVIEW 
Job Description Summary:  | The Columbian College of Arts and Sciences (CCAS) is the intellectual and creative backbone of the university. The Senior Academic Department Administrator’s responsibilities include: Providing enhanced administrative support to an academic department. Provides high-quality customer service to meet the academic needs of the faculty and students. This position may supervise an office assistant, temporary staff, and student workers. Manage the daily operation of an academic department within a school or college, primarily in the areas of human resources, compliance and financial management, to represent the department on business affairs and/or faculty affairs to the institution community, to develop and prepare budgets and financial reports for grants, general appropriations, endowments, and other funds, and to coordinate and participate in a variety of human resources activities such as coordinating and initiating recruitment efforts. Provides input into non-technical portions of grant and contract proposals and assists with research recruitment efforts, managing the hiring process for all faculty (full time, adjunct and visiting scholars), temporary staff and students, including on-boarding to the department, supporting and addressing faculty classroom needs, including acquisition of textbooks and compiling course materials, and liaising with and assisting Faculty with academic and administrative matters such as administrative aspects of course and curricula preparation. This role exercises authority to make decisions related to academic support and serves as the administrative subject matter expert for the department. This position participates in monthly school-wide meetings for administrative managers, and may supervise a small staff of non-exempt employees and/or students.

This position performs other duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.

Minimum Qualifications:  | Qualified candidates will hold a Bachelor’s degree in an appropriate area of specialization. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training and experience.

Preferred Qualifications:  | Demonstrated experience in academic administration within a higher education environment, including budget management, faculty support, human resources coordination, and compliance with institutional policies. Strong interpersonal and communication skills, with a proven ability to deliver high-quality customer service to diverse stakeholders, including faculty, students, and staff, in a fast-paced, multidisciplinary academic setting. Proficiency in administrative systems and tools, such as budgeting software, HR platforms (e.g., PeopleSoft), and Microsoft Office Suite, with the ability to analyze data, prepare reports, and manage multiple administrative functions independently.
