Senior Administrative Assistant Full Description

Join Purdue University Fort Wayne: 
We are currently seeking a full-time, on-site, Senior Administrative Assistant in the School of Music. This position provides high level administrative support to the Director of the School of Music. The pay for this position is $17.50/hr.
 
Primary Responsibilities:
  • Maintain and reconcile School of Music accounts to ensure accurate transfers and payments
  • Track payments for expenditures and prepare reports for the Director.
  • Compile financial data to prepare budget projections.
  • Manage purchasing including processing P-card transactions, payee certifications, direct invoice vouchers, purchase requests, and petty cash.
  • Screen calls and visitors; coordinate Director’s correspondence, meeting scheduling, and reports.
  • Coordinate school secretary’s assignments to ensure quality and timeliness of work; provide input on annual evaluation.
  • Order music for ensembles
  • Order office supplies
  • Arrange lodging and receive/process paperwork for guest artists.
  • Assist search committees with recruitment activities.
  • Other duties as assigned.
 
Required Qualifications:
  • A High School diploma or GED.
  • Three or more years in general office experience required.
  • Knowledge of budgeting, hiring practices, contracts, and student financial aid.
  • Excellent verbal and written communication skills.
  • Strong organizational and time management skills and attention to detail.
  • Advanced computer and related software skills to include Word, Excel, PowerPoint, Outlook, Internet, etc.
  • Ability to collaborate and communicate with individuals at all levels within and external to the university to support department needs. 
 
Preferred Qualifications:
  • Experience in academic setting.
