Senior Administrative Assistant Full Description

Job Summary
The Senior Administrative Assistant provides comprehensive administrative support to the department. Responsibilities include maintaining calendars; scheduling meetings, seminars, and events; managing room reservations; arranging travel; and handling incoming inquiries. The role also includes preparing, formatting, and maintaining the department’s newsletter; posting approved content to departmental social media platforms; updating directory posters, maintaining content for digital displays;  and creating agendas, flyers, and other promotional materials. In addition, the position assists with coordinating departmental seminars, guest speakers, and special events by providing administrative and logistical support, including preparation of materials and communications. Duties will include attending departmental events which may occur during evenings and weekends.

Required:
Education and Experience: 
  • High School Diploma/GED.
  • Three years of experience in an administrative support role.
 
Skills Needed:
  • Excellent verbal and written communication skills.
  • Ability to handle frequent interruptions, balance multiple tasks, meet deadlines, and maintain confidentiality.
  • Strong organizational and time management skills and attention to detail.
  • Advanced computer and related software skills to include Word, Excel, PowerPoint, Outlook, Internet, etc.
  • Ability to collaborate and communicate with individuals at all levels within and external to the university to support department needs.
  • Ability to interpret policies and procedures to proactively resolve issues or improve processes.
  • Ability to identify problems and implement or recommend solutions.
  • Drafting, proofreading and editing skills.
