Job Location: El Paso, Texas (On Site)

Posting End Date: Open until filled. This posting may close once a sufficient number of qualified applications have been received.

Hours: 40 hours per week, standard Monday- Friday 8:00am- 5:00pm. Flexibility is required on evenings and weekends.

FLSA status: Exempt

Earliest Start Date: As soon as possible.

Salary: $46,550 Annually.

Position Summary

Under minimal supervision, provides coordinating services, keeps official records, and executes administrative policies determined by or in conjunction with other officials, within area of assigned responsibility.

Leads the logistical planning, coordination, and implementation of divisional events, programs, and initiatives.

Develops and manages comprehensive event calendars, timelines, project plans, operational checklists, implementation schedules, staffing plans, and event logistics guides.

Provides event-day leadership and operational coordination to ensure events run efficiently and effectively.

Conducts post-event assessments and develops recommendations for operational improvements and enhanced participant experiences.

Assists with the development of divisional event planning standards, operational procedures, planning guides, and best practices.

Serves as the primary liaison with university service providers, campus partners, and external vendors supporting Enrollment Management events, including facility requests, room scheduling, catering, and other services and deliverables needed for event.

Facilitates planning meetings and communications to ensure campus resources and services are secured and delivered on schedule.

Coordinates the production and distribution of event materials, participant resources, signage, and printed collateral.

Research industry trends, innovative event practices, and operational strategies to enhance divisional events and participant experiences.

Ensures compliance with university policies, purchasing procedures, facility guidelines, and event-related regulations.

Knowledge of all Microsoft Office software and able to learn and use institutional software systems.

Complies with all State and University policies.

Other duties may be assigned.

Supervisory Responsibilities: Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws.

Qualifications

Required Qualifications:

Education: Bachelor’s Degree

and

Experience: Three years of professional experience in event planning, event operations, project management, conference services, or hospitality management.

Experience coordinating multiple projects, timelines, and priorities simultaneously.

Strong organizational, communication, and customer service skills.

Demonstrated ability to work collaboratively with diverse stakeholders.

Preferred Education/Experience:
                

Experience planning and executing large-scale events.
 
Experience working in higher education, enrollment management, admissions, student affairs, recruitment, orientation, campus visits, or related areas.
 
Experience managing vendor relationships, facility coordination, and campus event services.
 
Experience supporting division-wide or institution-wide events.
 
Experience utilizing CRM systems, event registration platforms, project management software, or related technologies.
 
Spanish fluency.
 
Demonstrated experience working with students, families, and diverse populations.
