Position Overview:
The Financial Analyst provides comprehensive financial planning, analysis, and reporting support for the College’s Engineering & Maintenance and Design & Construction division. This role partners closely with facilities leadership, project managers, engineers, and operations staff to ensure effective budget management, capital project controls, cost forecasting, and financial compliance across operating and capital expenditures. The analyst plays a key role in supporting infrastructure reliability, regulatory compliance, and strategic capital investment decisions. This includes but is not limited to contract administration, document control, general clerical assignments, and other financial miscellaneous tasks.
POSITION RESPONSIBILITIES:
Key Responsibilities:
- Financial Planning & Analysis
- Maintain budget tracking for capital and renovation projects, ensuring accurate reconciliation of costs. This includes but is not limited to conducting budget vs. actual analysis, identifying cost variances and ensuring financial compliance.
- Process requisitions, purchase orders, and invoice reconciliation to ensure timely and accurate payments.
- Support the preparation of the annual and mid-year capital budgets, including financial forecasting.
- Assist in developing and updating the 20-year Capital Plan, managing a projected budget of approximately $80 million.
- Prepare cash flow Analysis for all projects and track actuals accordingly.
- Develop, manage, and monitor operating budgets for Engineering & Maintenance as well.
- Perform monthly, quarterly, and annual financial analysis, including variance analysis, trend analysis, and forecasting
- Support long-range capital planning and multi-year facilities investment strategies
- Analyze labor, materials, contracts, utilities, and service costs to identify risks, savings opportunities, and efficiencies
- Track and report on capital project budgets, commitments, expenditures, and forecasts
- Support project managers with cost control, change order analysis, and financial impact assessments
- Assist with capital project close-out, asset capitalization, and depreciation coordination as necessary with Finance.
- Project & Operations Administration
- Prepare, track, and manage contracts, purchase orders, change orders, and financial documentation in compliance with procurement policies.
- Work closely with vendors, contractors, and procurement teams to ensure seamless project execution.
- Maintain comprehensive documentation control including contract amendments, approvals, and financial reports.
- Assist in writing and managing meeting minutes, action items, and project status reports.
- Assist in arranging meetings for the project teams.
- Tracking project milestones.
- Assist in preparing bid packages for new projects
- System Transition & Data Management
- Support the transition to new software systems, ensuring smooth financial data migration.
- Leverage new software to streamline financial processes and reporting.
- Generate financial reports using multiple systems (Banner, MicroMain, CMS, Procore) to provide real-time project insights.
- Change Order & Compliance Management
- Monitor and process change orders, ensuring accurate financial tracking and compliance.
- Work with stakeholders to analyze financial impacts of scope changes on budget and project timelines.
- Ensure all financial records align with procurement guidelines, grant funding requirements, and internal policies.
Qualifications & Skills:
- Bachelor’s degree in Finance, Accounting, Business Administration or a related field.
- 2-3 years of relevant experience in financial analysis, budget management, or construction project administration.
- Experience with Project Management Software (Procore, e-Builder, Banner, or similar) is highly preferred.
- Advanced proficiency in Microsoft Excel, including pivot tables, formulas, and financial modeling.
- Strong experience in contract management, invoice reconciliation, and procurement processes.
- Excellent organizational, written, and verbal communication skills.
- Ability to work independently and manage multiple priorities in a fast-paced environment.
- Knowledge of Engineering, capital planning, construction budgets, and financial reporting is a plus.
Additional Information: In compliance with NYC's Pay Transparency Act, the annual base salary range for this position is listed below. Albert Einstein College of Medicine considers factors such as (but not limited to) scope and responsibilities of the position, candidate's work experience, education/training, key skills, internal peer equity, as well as, market and organizational considerations when extending an offer. Maximum Salary Range: USD $87,500.00/Yr.
