Senior Payroll Specialist Full Description

IXL Learning, a leading provider of personalized learning products used by millions worldwide, is seeking a Senior Payroll Specialist to join our team. In this role, you’ll collaborate closely with the Payroll Manager and HR team to ensure smooth and accurate payroll processing. We’re looking for someone who brings strong attention to detail, excellent problem-solving skills, and deep payroll expertise. You'll be responsible for verifying payroll reports, managing timesheets and spreadsheets, handling fund distribution, and responding to payroll-related inquiries and data requests. This is a full-time position in our San Mateo, CA headquarters office. The work schedule for this role is Monday-Friday in the office with the option to work from home one day per week. #LI-CC1

WHAT YOU'LL BE DOING

  • Prepare and process end-to-end multi-state bi-weekly payrolls for over 1,400 employees in Workday
  • Process monthly payrolls for global locations through partnership with payroll service providers
  • Prepare manual payroll checks for employees and wire payments as needed for off-cycle payments
  • Handle day-to-day payroll activities and resolve payroll related discrepancies
  • Provide timely response to inquiries from HR, accounting, managers, employees, government, and other third-party agencies by utilizing knowledge and interpretation of policies, procedures, and legislation
  • Review and reconcile all payroll data for new hires, terminations, taxes, benefits, and deductions
  • Manage time and attendance workflow to ensure all time sheets, time off requests, and other payroll data is received timely and are accurate
  • Ensure compliance of payroll controls and maintains knowledge of applicable federal and state regulations
  • Participate in payroll process improvement and documentation
  • Assist in year-end close and W-2 processing and partnership with ADP Tax and SmartCompliance teams
  • Assist in annual 401k and financial statement audit on payroll 
  • Assist Payroll Manager with special projects, M&As, and system implementations as needed

WHAT WE'RE LOOKING FOR

  • Bachelor’s Degree in Accounting, Finance, or related major 
  • Minimum 5 years’ experience in payroll, international experience a plus
  • Experience with ADP SmartCompliance and Workday required
  • Commitment to customer service with a strong sense of ownership for projects and results
  • Detail-oriented, exceptionally organized, and be able to work within tight deadlines
  • Excellent written and verbal communication skills
  • Have the ability to think outside the box, work independently with general supervision, as well as part of a team and willing to contribute beyond the defined role to meet business needs as circumstances require
  • Maintain confidentiality in all aspects of employee and company information
  • Proficiency in Microsoft Office 365, G-Suite

Our pay ranges are determined by role, level, and location. The base salary range for this full-time position is $110,000 - $140,000 + benefits. The range displayed on each job posting reflects the minimum and maximum target for new hire pay for the position. Individual pay is determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
