Job Summary:
The Senior Product Project Coordinator is a detail-oriented professional responsible for executing project and operational tasks in alignment with established processes and direction from leadership. This role supports the Academic Services team by coordinating project timelines, maintaining accurate data in systems like Workfront, and facilitating routine communication across stakeholders. Success in this position requires strong organizational skills, consistent task follow-through, and a commitment to following standardized procedures. This role plays a vital support role in helping the team deliver accurate, timely, and reliable outcomes.

Key Responsibilities:
  • Project Management:
    • Coordinate a high volume of project activities according to already established plans and timelines primarily in an internal facing capacity
    • Monitor project milestones and deliverables with colleagues and external partners. Escalate issues or delays to Director.
    • Collect and consolidate status updates from internal team members to support ongoing tracking and reporting needs
    • Facilitate routine communication between project stakeholders, including scheduling meetings, sharing agendas and capturing notes
    • Work closely with teams within Academic Services and periodically with project management teams in other workstreams
  • Systems Administration & Data Management:
    • Enter and maintain project data in Workfront for assigned partner accounts. Follow established conventions and workflows for assigned university partner accounts.
    • Conduct regular data checks using defined procedures to ensure accuracy and completeness of records
    • Generate reports using standard templates, providing basic formatting and light data manipulation to support partners and internal operations
    • Maintain and update the faculty contact database ensuring information remains current and organized
  • Operational Support:
    • Provide day-to-day administrative support to the Academic Services Team, such as document preparation, data entry, scheduling, and file management.
    • Assist with data exports and reporting tasks using provided tools following documented instructions for formatting and delivery.
    • Contribute to process documentation by capturing updates to procedures as directed by leadership
    • Support ongoing continuous improvement initiatives by offering observations and input on potential refinements to tools or processes.

Job Qualifications:
  • Bachelor’s degree in business, education or related field.
  • Minimum of 1 year of professional experience in project coordination, operations or administrative support roles (preferably in a structured, process-driven environment)
  • Proficiency with common business tools such as Microsoft Excel, Google Workspace, and project/task tracking systems (e.g., Workfront, Asana, Monday.com, or similar)
  • Strong organizational and time management skills, with the ability to manage multiple tasks and meet deadlines without sacrificing accuracy
  • High attention to detail and commitment to following established procedures and documentation standards
  • Clear and professional written and verbal communication skills, especially in coordinating updates and sharing project information
  • Ability to work independently within defined parameters, knowing when to escalate questions or issues
  • Comfort working in a highly collaborative, cross-functional environment, supporting multiple stakeholders with varying needs
  • Demonstrated reliability and follow-through, especially when performing repeatable or routine tasks
  • Proficient in Project Management software
