Senior Program Manager, Leadership Coaching Institute Full Description

Job Summary
The Hayes Leadership Coaching Institute (HLCI) in the Center for Working Well (CWW) at the Mitch Daniels School of Business is seeking a passionate and driven Senior Program Manager to champion the growth and success of its high-impact programs. As a vital member of the leadership team, this individual will report to the Head of HLCI and collaborate closely with key operational and leadership partners to execute strategic initiatives that enrich the student experience and strengthen partnerships with coaches, faculty, and organizational collaborators. This highly visible role is central to HLCI’s mission, supporting effective communication, seamless program execution, and transformative experiences for stakeholders. The Senior Program Manager will also contribute to CWW events and projects, offering broad opportunities for professional development and influence across the school. As a primary point of contact for many valued internal and external partners, this position is ideal for someone who thrives in a fast-paced, collaborative environment and is eager to drive positive change. 

Key Responsibilities:
  • Manage the full student cohort admissions cycle, including the Airtable-based application system, reviewer coordination, deadline management, offer letters, and the welcome event.
  • Manage logistics and scheduling for students, coaches, faculty, and internal and external partners
  • Track coaching cohorts, ensuring engagement, progress, and outcomes 
  • Support administrative workflows, event logistics, and shared calendar management
  • Maintain budget and financial tracking tools for HLCI.
  • Manage payment processing for contract coaches and speakers.
  • Draft and manage contracts and statements of work for speaking events and coaching vendors.
  • Plan, host, or assist with events such as group coaching, cohort workshop, BGR, and other events.
  • Coordinate branded merchandise and marketing materials with marketing and manage day-to-day website updates and requests for the HLCI website.
  • Research related topics and programs across the CWW and HLCI landscape to inform program design and strategy.
  • Execute new initiatives, partnerships, and executive programming by building scalable systems/tools for operational excellence and national visibility
  • Serve as an active thought partner to the Head HLCI, the Director of CWW, and leadership affiliates, and act as the day-to-day liaison with faculty, cohort, and contracted coaches.
  • Other duties and projects as assigned.

What We're Looking For:

Education and Experience
Qualified candidates will need:
  • Bachelor's degree in business, communication, organizational leadership, organizational psychology, or a related field.
  • 4 years of experience in program administration, project management, or leadership-development environments.
 
Skills needed:
  • Demonstrated excellence in organization, communication, and relationship management.
  • Proven ability to manage multiple priorities in a fast-paced, high-visibility setting.
  •  
Preferred:
  • Master's degree in business administration, organizational psychology, communication, or a related discipline.
  • Experience in executive education, coaching programs, or higher-education administration.
  • Familiarity with ICF coaching principles and leadership-development frameworks.
  • Budget and data-management experience (Airtable or similar), with strong reporting and analysis skills.
