Required Qualifications: Applicants must specifically address how they meet these required qualifications to meet the requirements of the position.  | Knowledge of: applicable federal regulations 2 CFR 200 (Uniform Guidance), applicable state regulations, and various funding source requirements (such as NIH, NSF, and NEH); accounting and auditing standards (such as GASB and GAAS). Bachelor’s degree. Experience in budget development and review. Skilled in oral & written communications. Ability to conduct training sessions and develop training materials. Experience with PC & mainframe computer systems. Experience with proposal review and preparation.

Job Description  | Senior Proposal Coordinator is responsible for coordinating all aspects of preparation and submission of grant proposals including budget preparation.
Job Duties  | Office Process and Procedure: Assist with developing and maintaining the University proposal submission and review process.
Professional Development: Maintain up-to-date knowledge of federal, state, local, system, and university policies; stay current on industry issues and trends. Possess technical expertise in electronic submission portals (e.g., Grants.gov, E-grants, Tex-grants, NSF Fastlane/Research.gov) and compliance areas (effort, human subjects, export control, homeland security).
Proposal Preparation: Advise, review, and assist in budgets and submissions for new and continuation proposals. Ensure compliance with sponsor guidelines and coordinate with PIs to include required documentation (PRF, eligibility, IDC waivers, agency forms, commitment letters). Budget Development: Review and analyze costs, cost sharing, F&A exclusions, COLA, wages, justifications, subcontracts, and collaborators. Coordinate adjustments with PIs as needed.
F&A Cost Recovery: Promote use of the federally negotiated F&A rate to maximize recovery. Serve as electronic data administrator for proposal submission and maintain required records. Prepare and deliver award packages to post-award within 24 hours. Route proposals and budgets for Chair, Dean, Director, VP/AVP approvals.
Communication Skills: Clearly explain issues, build relationships, provide recommendations, and deliver quality customer service. Assist faculty and staff with locating proposal resources (e.g., tuition rates, dorm availability). Identify proposals needing additional reviews (tech transfer, IP, export control). Provide faculty/staff training, maintain materials, and attend meetings. Monitor/report effort commitments and other support. Prioritize workload and follow management directives.
Office Practices: Use office equipment, update system data, retrieve SAP information, and respond to calls/emails within 24 hours.
Other Duties/Special Projects: Update forms, train new staff, prepare annual F&A redistribution, generate requested reports, and perform other duties as assigned.
