 I. JOB OVERVIEW
Job Description Summary:  | The Enrollment Management and Student Success Division works to enroll, retain, and graduate an ever more passionate and academically talented student body. Through the formal unification of our units, we have focused on building an organization that recognizes the distinct roles and expertise of each individual department, while also identifying and leveraging opportunities for collaboration. Most importantly, our goal is to ensure an outstanding experience for students, prospective and current.

At GW, we operate two Slate instances—one supporting Undergraduate Admission and Non-Degree/Pre-College, and one supporting Graduate Enrollment Management (GEM)—each designed to meet the distinct needs of these populations while advancing a coordinated institutional strategy.

The GW Offices of Undergraduate Admission, Graduate Enrollment Management (GEM), and the Office of Student Success are committed to supporting prospective first-year, transfer, non-degree, and graduate students throughout their college search and application journey. Each year, we are honored to review applications from thousands of students around the world. Our goal is to enroll classes of students who will pursue academic excellence, thrive in our dynamic environment, and make lasting contributions to GW and beyond. Ultimately, our vision is for the CRM to support the full GW student lifecycle—from prospect through enrollment, persistence, and completion.

The Senior Slate Administrator provides development and operational support for Slate CRM—including event management, inquiry, applicant, and admitted-student communications; application cycle configuration; portal maintenance; and CRM data management—for the Office of Undergraduate Admissions and Graduate Enrollment Management (GEM). This position leads CRM data and development support for functional units in Undergraduate Admissions and supports GEM by managing user permissions, ensuring data integrity, resolving errors related to prospective, applicant, and admitted student records, and maintaining core CRM processes and automations.

Key responsibilities include overseeing the overall effectiveness and health of the Slate ecosystem—including daily data imports and application platform updates; maintaining and optimizing rule-based automation; ensuring the functionality and user experience of counselor and applicant portals; documenting and refining business practices; supporting account reconciliation; and designing, maintaining, and strengthening data feeds and integrations with third-party partners (e.g., Common App, College Board, ACT/Encoura, SCOIR, CBSS, StriveScan, Parchment, Keystone, Halda, etc.).Reporting to the Associate Vice Provost for Student Success, this individual serves as the functional lead for integrating Slate with the University’s SIS and external systems. In addition to the technical responsibilities, this role has a strong constituent-facing component: the Senior Slate Administrator will actively market and socialize Slate capabilities to internal stakeholders through forums, briefings, podcasts, newsletters, and other channels to drive adoption and effective use.

The position will occasionally work directly with the Vice President for Enrollment Management (VPEM) to address concerns raised by deans and other academic leaders, translating stakeholder needs into CRM solutions, improvements, and communication plans.

In addition, this individual will serve as a thought leader in GW’s ongoing digital transformation through Slate—staying actively engaged in the broader Slate community and providing quarterly updates on key developments in the Slate ecosystem (including emerging features, best practices, risks, and opportunities), along with clear guidance on how these trends may benefit and/or impact GW.

While this position does not directly supervise the UGA or GEM Slate Captains, it will maintain dotted-line leadership responsibilities by providing functional guidance, prioritization support, quality assurance, and coordination across CRM workstreams. This position will also play a key role in supporting Pre-College and Non-Degree, as the Pre-College/Non-Degree Slate Captain reports directly to this position. The Senior Slate Administrator is expected to provide training, documentation, and oversight for system users and to regularly implement and refine procedures that enhance recruitment and admission processes.

Lastly, for GEM, UGA, and Pre-College/Non-Degree, stakeholder alignment and instance-specific decisions will rest with the respective Captains. The Senior Slate Captain will support alignment and, when needed, lead cross-unit requirements gathering (serving in a light project management capacity as appropriate).

Similarly, day-to-day ticket management and triage will rest with the respective Captains. The Senior Slate Administrator will support escalation, coordination, and prioritization of enhancement requests but will not serve as the primary owner of any ticket queue.
Responsibilities & Duties Responsible for the day-to-day administration and management of the CRM and acts as the primary CRM Captain. Perform system configuration, maintenance, enhancement, and quality control processes for all online applications, forms, decisions, application review, communications, events, and portals. Responsible for all data imports and the integration/automation with external systems and vendors in coordination with GW IT. Provision all system accounts via role-based access control and SSO, and provide relevant system training/onboarding for all necessary individuals. Serve as the data steward for admissions data, ensuring data integrity through assessment and quality control reviews and audits, and following all university data governance and privacy policies. Create and maintain documentation for application processing in CRM and the data integration between CRM and other systems, including systems managed by third-party vendors. Identify and incorporate new CRM functionality and enhancements on a regular basis. Be an active member of the CRM community, which may include attending the annual CRM conference, webinars, and other professional development opportunities. Serve as the primary technical liaison for CRM with internal campus partners (e.g., Information Technology, Registrar, Academic Advising, Financial Aid), following IT and Cybersecurity best practices. Create and maintain custom reports and complex queries. Assist the enrollment leadership team with the daily and long-term management of the division, including dashboards, reporting, and implementation of new technology. Leverage new technology and new system features to maximize efficiency and customer service. Assist with admissions events (e.g., open houses, accepted student days). Provide quarterly briefings to leadership on Slate trends and developments, including recommendations for process improvements and potential enhancements to GW’s recruitment, admission, and communications strategy. Provide leadership and support to the Pre-College/Non-Degree Slate Captain, who reports directly to this position, and coordinate closely with UGA and GEM Slate Captains through dotted-line leadership responsibilities. Perform other job-related duties as assigned.
