Department Overview:
The Executive Assistant 3 provides advanced administrative support to top executives, such as Executive Vice Presidents (EVP), and manages highly sensitive communications and strategic scheduling. This role operates with significant independence, requiring strong problem-solving skills and the ability to anticipate executive needs. The Executive Assistant 3 may also provide leadership and training to junior executive assistants, serving as a mentor or guide within the administrative support team.
This role is more advanced than the Executive Assistant 2, with responsibility for supporting higher-ranking executives, managing more complex and confidential information, and exercising greater independence. Unlike lower levels, the Executive Assistant 3 may have leadership responsibilities over other assistants.

- Oversees executive calendars, coordinating high-level meetings and strategic initiatives.
- Manages a variety of confidential documents and communications.
- Serves as a liaison between executives, departments, and external stakeholders.
- Provides leadership and guidance to other administrative staff as needed.
Required Qualifications:
- Bachelor’s degree in relevant field
- Two (2) years of administrative experience OR
- Equivalent combination of education and experience.
- One (1) year of full-time experience must have been in direct support of a senior-level executive, requiring highly developed organizational and problem-solving skills.
Preferred Qualifications:
- Preference given to candidates with experience in working in higher education or an academic health center environment.
- Demonstrated experience in managing complex events.
Additional Details:
The employee will occupy a space on the Portland OHSU campus. The position will be on-campus, 5-days a week. Employee will work 40 hours per week, Monday thru Friday, generally from 8:00 am to 4:30 pm. A flexible work schedule is required, as possible evening or weekend events, and travel may be needed to support the Office of the Provost.
