Job Description Summary

Organization's Summary Statement:

The Strategic Initiatives Project Coordinator plays a critical role in supporting the development, implementation, and ongoing success of Facilities Management's strategic initiatives, departmental projects, and operational improvement efforts. This position coordinates administrative activities for established and emerging initiatives while supporting the effective use of business applications and enterprise tools that enhance departmental operations.

Working collaboratively with stakeholders across Facilities Management and campus partners, the position coordinates projects, communications, employee training, customer service initiatives, change management, documentation, and process improvement to advance the goals of Facilities Management's Strategic Plan. The incumbent serves as a departmental resource for business applications by coordinating user access, developing training resources, supporting business processes, and promoting the consistent adoption of departmental systems, procedures, and organizational initiatives. This position also supports department-wide engagement activities, employee development programs, and organizational initiatives that foster operational excellence and continuous improvement.

Physical Demands:

This position resides in a professional office environment. The incumbent may be required to travel on and off campus to attend meetings, facilitate training, coordinate events, or deliver and receive materials in support of departmental operations and strategic initiatives. The position may require standing and walking during training sessions, meetings, and special events. The position is telework eligible, subject to supervisor approval.

Licenses/ Certifications:

The incumbent must possess a valid driver's license, as duties require travel to and from meetings and project sites, both on and off campus. If driving a state vehicle, the incumbent must possess a valid Maryland Class C driver's license (or equivalent) with fewer than six (6) points.

Minimum Qualifications

Education: Bachelor's degree from an accredited college or university.

Experience: One (1) year of professional administrative or coordinator experience.

Other: Additional work experience as defined above may be substituted on a year for year basis for up to four (4) years of the required education.

KNOWLEDGE, SKILLS, ABILITIES:
 
Knowledge of best practices in organization, administration, and customer service.
Knowledge of proper protocol in dealing with confidential information.
Skill in oral and written communication.
Skill in the use of Microsoft Office and Google Workspace (Docs, Sheets, Slides, Forms, etc.)
Ability to interpret and apply policies, procedures, regulations, and laws.
Ability to multitask while demonstrating a commitment to customer service. 

Additional Job Details

Preferences:
  • Minimum of two (2) to three (3) years of experience in project coordination, program administration, organizational support, business operations, communications, training, or a related administrative role.
  • Experience coordinating multiple projects and initiatives simultaneously while meeting deadlines.
  • Experience developing and facilitating employee training or organizational learning programs.
  • Experience supporting business applications or enterprise software used to support organizational operations.
  • Experience in a higher education environment is preferred.
  • Bachelor's degree in Business Administration, Project Management, Organizational Development, Public Administration, Communications, Adult Learning, or a related field.
  • Experience supporting strategic planning, organizational development, or operational improvement initiatives.
  • Experience coordinating employee engagement, onboarding, or organizational change initiatives.
  • Experience developing and facilitating customer service training or employee development programs.
  • Familiarity with Facilities Management operations and business processes.
  • Proficiency in Spanish. Ability to build collaborative relationships and work effectively with diverse stakeholders across the organization.
  • Ability to analyze workflows, identify opportunities for improvement, and recommend practical solutions.
