Position Description:  | Position Summary:Provide secretarial and technical assistance to the Student Development and Activities department in support of the Student Activities, Student Organizations, Phi Theta Kappa, WCC Sports, WCC Esports and WCC Student Newspaper offices. This position is responsible for front desk reception, program assistance, financial processing, department assessment reporting, and institutional support activities.

Essential Job Duties and Responsibilities: Provide exceptional customer service at the front desk: in-person, online, and phone. Maintain up-to-date promotional signage, informational materials, and procedural forms. Actively seek information and maintain a complete understanding of department activities. Effectively communicate detailed information on events, organizations, college policies, department procedures, student responsibilities, support services, staff roles, and more. Relay messages and organize meeting requests for department administrators. Develop and maintain the inventory/checkout system for equipment and supplies. Maintain check-in system and track usage of the WCC Reflection Room. Record semester schedules for part-time staff into department calendar. Maintain structure and organization of the departments digital file system. Follow front desk and department procedures as implemented by the Director. Compile and deliver the department’s weekly email newsletter content: collect content from administrators, create draft, proofread, and deliver messages. Oversee the department’s social media: conceive, design, create, and schedule posts. Implement the Director’s annual internal/external email communication plan. Assist in the annual review/development of canned customer service communications. Schedule distribution of Bulletin Board Postings and the Monthly Restroom Publication. Assist Director with development of training materials for students, staff, and faculty. Organize Information Stations at the beginning of each Fall and Winter semester. Collaborate across departments to ensure college-wide representation, recruit/train staff, track student participation and create measurable summary reports for the program. Create and distribute directional signage for the Student Center each semester. Oversee inventory and placement of AAATA bus route information stands. Process, document, and organize all department financial data: contracts, requisitions, purchasing card receipts, purchase orders, transfers, reimbursements, deposits and more… Track departmental budgets and agency account balances: communicate current balances and potential issues to the Director, Supervisors, Coordinators, and student club leaders. Assist in the collection of vendor data, contracting, and purchasing of materials/services as requested by the department administrators. Administer all aspects of individual and group conference travel for Student Activities, Student Organizations, Washtenaw Voice, WCC Sports and co-curricular classes/organizations. Develop timelines/budget estimates, complete advanced reservations/payments for activities, dining, conferences, hotels and transportation. Collect liability forms. Reconcile and audit receipts in accordance with the college’s Conference Travel procedure. Complete ticket reconciliation and communicate current ticket availability at front desk. Assist Director in organizing monthly staff meetings, trainings, and retreats. Assist Director in planning, organizing, and documenting advisory board meetings. Assist Director and department administrators with special projects as needed. Perform other duties as assigned by Director. 
Data Evaluation, and Reporting Duties: Complete semesterly requests, processing, and reporting of data for the honor society’s student eligibility, probation, and termination files. Facilitate honor society enrollment periods and initiate communication with new members. Complete annual audit of honor society student data to assure WCC’s student records match the honor societies membership data. Troubleshoot and fix errors that arise. Review and process forms within the Campus Connect (Engage) system: evaluate student transcripts for eligibility, reserve rooms/media, add events to calendar, make related purchases, communicate with involved student, staff, and faculty. Review academic transcripts of students who patriciate within the Department and work with Director to implement and track probationary participation for academically at-risk students. Assist Director with assessment planning and completion for Student Development Office. Assist Director with spot-checking assessment and attendance data for each office area. Work with administrators to assure assessment reports are accurately completed and saved.

Minimum Qualifications:  | Minimum Required Knowledge, Skills and Abilities: High School Diploma or GED plus four (4) years relevant work experience and 30 credit hours in related coursework or the equivalent combination of education and work experience Proficiency in Microsoft Office: Word, Excel, PowerPoint, Outlook, Planner, Teams, One Drive. Proficiency in Google Drive, Google Calendars, and Google Keep. Proficiency in grammatically correct English usage and spelling, filing, proofreading, basic math, notetaking, email and telephone etiquette. Proficiency in Internet usage, social media profile management and web applications. Ability to compose and edit office correspondence, email newsletters, and other written materials. Ability to work independently, organize own workload, and appropriately handle confidential materials. Possess good judgment, organizational, resourcefulness, proactive initiative to solve problems, strong customer service, attention to detail and the ability to respond to input from a variety of sources, including staff team members, students, community members and college leadership. Maintain a positive, team-driven attitude while supporting our students, colleagues, and community.
