Position Description
The Talent Acquisition and Pre-Boarding Specialist works alongside Rocketship Talent Team colleagues to ensure all Rocketship students have access to great educators. The Pre-Boarding Specialist ensures that all new hires successfully complete the necessary steps to begin employment on time and in compliance with legal, organizational, and state education requirements. This role manages the pre-employment process from offer acceptance through the first day of work, providing exceptional service to new hires and hiring managers while maintaining accurate and efficient HR operations. The Pre-Boarding Specialist is a key user of the Workday HR system, responsible for maintaining accurate employee records and ensuring smooth data flow between Talent and HR teams. The role also provides administrative support to the Talent Acquisition function, helping ensure high quality recruiting operations across the network.
This position reports to the Senior Director of Talent Acquisition.
The following are essential functions related to the position:
Pre-Boarding and Compliance
- Coordinate and manage all aspects of the pre-boarding process for new hires, including background checks, reference checks, fingerprinting, TB test verification, employment eligibility documentation (I-9s) and other region-specific requirements.
- Track and verify initial state certification and credentialing requirements for instructional staff, ensuring compliance with state and authorizer standards.
- Prepare and distribute onboarding directions and pre-employment forms using Workday and related systems.
- Enter, update, and maintain accurate employee records in Workday, ensuring all pre-boarding documentation is completed, filed, and stored according to organizational policies.
- Monitor Workday onboarding workflows to ensure timely completion of tasks and resolve any errors or data issues.
- Communicate regularly with new hires to guide them through each pre-boarding step, answering questions and providing timely updates.
- Partner with hiring managers, regional teams, and HR colleagues to ensure all new hire onboarding milestones are met prior to the start date.
- Identify process bottlenecks and recommend improvements to enhance efficiency and candidate experience.
Talent Acquisition Operations Support
- Support candidate sourcing efforts by identifying and engaging potential candidates through online platforms and talent databases.
- Post open positions across external job boards, websites, and social media channels.
- Maintain accurate and organized data within an application tracking system ensuring requisitions, candidate statuses, and reports are current.
- Coordinate logistics for interviews or recruitment events as needed.
- Assist with maintaining and updating recruiting templates, processes, and documentation.
Required Qualifications
Education and Experience
- Associateâs or Bachelorâs degree preferred, or equivalent combination of education and relevant experience.
- 1â3 years of experience in HR operations, onboarding, recruiting coordination, or a similar administrative role.
- Experience using Workday or another HRIS preferred
- Experience in a school system or multi-site organization preferred
Knowledge, Skills, and Abilities
- Strong attention to detail and accuracy in managing multiple processes and deadlines.
- Excellent written and verbal communication skills with a customer service orientation.
- Demonstrated ability to use HRIS systems (especially Workday) to manage data and workflows.
- Ability to handle confidential information with discretion and professionalism.
- Proficiency with Google Workspace.
- Highly organized, process-driven, and proactive in identifying and resolving issues.
- Ability to build positive working relationships with staff, school leaders, and external partners.
