Job Description  | This position requires use of considerable independent judgment, discretion, and confidentiality in a high pressure, high volume, fast-paced work environment. There is extensive and intensive contact with students and faculty, and a large amount of collaboration with various staff and departments from within the Newhouse School as well as various offices around the SU campus. Coordinator will oversee day-to-day operations of department and program business. Responsible for researching and compiling various forms of data (i.e., travel arrangements-airfare, bus companies, restaurants, and competitive program information.)

This position is part of a bargaining unit and is represented by the union SEIU, Local 200United.
Education and Experience  | Bachelor’s degree or an equivalent combination of education and working in an academic/administrative environment is required. Knowledge of University organization, policies, and procedures preferred. Must be able to interact with high level media professionals, alumni, administrators.

Skills and Knowledge  | Excellent oral and written communications skills, interpersonal and organizational skills, with strong attention to detail is needed. Ability to prioritize multiple projects with similar deadlines required. Ability to meet deadlines, analyze resources, change priorities and work effectively with a wide variety of constituents required.

Responsibilities  | Oversee day-to-day operations of departmental and program business requiring considerable independent judgment, discretion, and confidentiality in a high pressure, high volume, fast-paced work environment. There is extensive and intensive contact with students and faculty, and a large amount of collaboration with various staff and departments from within the Newhouse School as well as various offices around SU’s campus. Includes event management for main campus and off-campus departmental special events including numerous high-profile alumni and special guest speaker visits throughout the year. Workshops, symposiums, conferences, forums, competitions, field trips, benchmark trips, alumni receptions, summer bootcamp, Convocation activities, and all other activities of the department. Includes all details relating to travel, scheduling, itineraries, catering, publicity, legal/policy implementation, publications, and event management. Manage departmental and program recruitment, registration, advising, benchmark, internship, graduate comprehensive examinations and other academic activities. Includes creation and maintenance of departmental social media sites (Facebook, Twitter, Linkedin, etc.). Extensive contact with prospective and current students, alumni, faculty, media professionals. Prepare monthly budget reconciliations for department chairs and program coordinators; tracking over 500 credit card transactions annually totaling tens of thousands of dollars and assuring all university budgetary policies and guidelines have been met. Managing the reimbursement process for faculty, visiting professor, adjunct and guest speaker expenses. Prepare a multitude of student reimbursements for student travel on department benchmark trips, class projects, capstone stories, and thesis. Support faculty searches and department(s) efforts in recruiting new faculty and adjunct members (creating online job search, researching & placing advertising, outreach & diversity tracking, coordinating interview process, providing hospitality for candidate while on-campus, reimbursement for out-of-pocket expenses occurred, assisting with re-location and budgetary questions and procedures. Other duties as assigned, which include provide assistance to Newhouse student organizations and associations, including membership application materials, booking accommodations for guest speakers events, room reservations, and publicity. Facilitates student entries for student award submissions to national award programs. Facilitates student entries for internship submissions for official national and international departmental internships (Olympics, Dubai, NYC, Los Angeles, etc.).
