This is a/an 80 % full-time equivalency (FTE) job. This position will work 30 hours per week. This position is eligible for benefits associated with any full-time position. The salary grade and range listed in the posting is reflective of a 100% Full-time position. POSITION SPECIFICS
The College of Engineering's Graduate Program in Acoustics seeks to fill the vital position of Academic Program Coordinator for the Acoustics World Campus/Distance Education Graduate Program.
The successful candidate will be part of the administrative team that supports department functions and enables full-time working professionals to earn a Master of Engineering degree or a Graduate Certificate in Acoustics entirely online.
The role involves working closely with the Acoustics Program Director, the Faculty in Charge of the Distance Education Program, World Campus, The Graduate School, and the program's administrative support manager, as well as engaging and professionally communicating with students, faculty, and staff.
The Academic Program Coordinator will work both independently and collaboratively when completing this position's responsibilities, which include but are not limited to:
- Serve as the initial contact for prospective and current degree, nondegree, and certificate students and independently research and respond to all inquiries related to the Distance Education Program.
- Coordinate the student admissions process (e.g., communicate with and update prospective students, organize and submit applications for faculty review).
- Schedule courses for the Distance Education Program in coordination with the Resident Student Program Coordinator, the Faculty in Charge of the Distance Education Program, and the Acoustics Program Director.
- Assist in compiling and maintaining an online collection of syllabi for courses taught within Acoustics; shares copies of syllabi with students as needed.
- Assist faculty teaching distance education courses in administrative processes, such as coordinating proctors for exams with the students.
- Maintain program databases, including creating and maintaining student files; assessing and tracking audits; ensuring completion of degree and certificate requirements; and preparing reports for program leadership related to enrollment data, student progress and experience.
- Monitor graduation requirements and progress; proactively reach out to students who are not re-enrolling each semester.
- Communicate with degree and certificate students about deadlines, policies and procedures. Process grade change forms, add, drop and registration forms.
- Communicate with students to promote program specific opportunities including workshops, organizations, internships and career development opportunities.
- Responsible for maintenance of the Distance Education/World Campus portion of the department website, listservs, and updates to the graduate handbook.
- Serve as liaison with the J. Jeffrey and Ann Marie Fox Graduate School and World Campus.
- Plan and coordinate event logistics including venues, invitations and itineraries (e.g., orientations, prospective student visits, open houses and other program events); arrange schedules for events
- The Academic Program Coordinator will assist other team members and provide backup administrative support for the Acoustics Graduate Program (beyond Distance Education).

The Academic Program Coordinator will receive the necessary resources to learn all the rules and regulations for the University's Graduate program to complete the above responsibilities.
After training, the Academic Program Coordinator will also work with various software including Microsoft Office 365 (including Excel), 25Live by CollegeNet (scheduling platform), and the following which are specific to Penn State:
- LionPATH (student information system)
- GRADS (Graduate Admissions Decision System)

It is preferred that candidates have experience with student information platforms and admission decision systems. Candidates should also be proficient with Microsoft Office applications. Experience working in an academic unit at a university is also desirable.
Additional Information:
The standard work schedule of this position is Monday through Friday from 8 a.m. to 5 p.m. Eastern.

SALARY & BENEFITSThe salary range for this position, including all possible grades, is $38,300.00 - $55,500.00.
