Department Summary
The Department of Continuing Education and Assessment partners with subject matter experts and course directors to design, deliver, and evaluate accredited continuing education (CE) that enhances competence, performance, and interprofessional collaboration across the healthcare team. Programs are informed by practice gaps, aligned with accreditation standards, and delivered through formats such as live and virtual courses, conferences, workshops, regularly scheduled series (RSS), and online modules. The CE team uses data-driven methods to assess learning outcomes, track performance improvement, and demonstrate the real-world impact of CE on clinical practice, patient care, and community health.

Position Overview
The Academic Program Coordinator plays a key administrative role in supporting the planning, coordination, and documentation of accredited continuing education (CE) activities for healthcare professionals. This position ensures the seamless execution of CE programs by managing timelines, assisting with accreditation documentation, coordinating communications with course faculty and internal/external stakeholders, and maintaining CE activity records in compliance with accreditation standards.

Working closely with CE team members, course planners, and internal/external collaborators, the Academic Program Coordinator supports the delivery of high-quality continuing education that enhances professional competence and improve healthcare outcomes.

Minimum Qualifications
Bachelor's degree and two (2) years of related experience; or any equivalent combination of education and experience.

Knowledge, Skills and Abilities
Strong organizational skills with the ability to manage multiple priorities and meet deadlines.Excellent written and verbal communication skills.Attention to detail and commitment to maintaining accurate records.Familiarity with or willingness to learn CE/CPD accreditation requirements (e.g., ACCME, ANCC, ACPE, Joint Accreditation).Comfortable working in a fast-paced, collaborative team environment with diverse stakeholders.Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).Customer-focused mindset when responding to learner inquiries.

Preferred Qualifications
Bachelor’s degree in education, public health, business administration, or related field preferred.Two (2) or more years of experience in a higher education, healthcare, or continuing education setting.Experience working with learning management systems (e.g., EthosCE), project management tools (e.g., ClickUp,), and/or online form platforms.

Job Duties:
Assist with the coordination and scheduling of CE activities, including regularly scheduled series (RSS), conferences, workshops, and online learning modules.Support the planning team by maintaining activity timelines, organizing CE intake meetings, and monitoring progress toward deliverables.Prepare and distribute agendas, meeting minutes, and follow-up documentation for planning and implementation meetings.Assist in preparing, collecting and maintaining required accreditation documentation (e.g., financial disclosures, needs assessments, evaluation summaries) and ensure timely entry of data into the Learning Management System (LMS).Support the implementation of CE evaluations and learner feedback tools in LMS; compile results for reporting purposes.Respond to learner inquiries and communications in a timely, courteous, and accurate manner, ensuring a positive experience. Maintain accurate and organized records of CE activities, including contracts, communications, and participant data, in accordance with institutional and accrediting body standards.Serve as a liaison to speakers, faculty, and internal/external collaborators, for information requests, materials submissions, and scheduling support.Assist with the coordination of logistics for live and virtual CE activities, including room reservations, audiovisual setup, and registration support.Participate in internal accreditation reviews/audits, process improvement processes, and accreditation site visits audits.Assist with special projects and administrative support needs across the CE team as assigned.
