POSITION SPECIFICS
Join Penn State's team as an Academic Program Coordinator Supervisor. You'll work in a collaborative environment, making a difference in the Department of Psychology by providing critical administrative and logistical support for faculty and students.
This role is at the heart of academic operations for the graduate and undergraduate programs for the Department, ensuring program management and student success. Supervisory responsibilities include leading the Student Services administrative staff team.
The Academic Program Coordinator Supervisor will utilize organizational and multi-tasking skills to complete this position's responsibilities, which include but are not limited to:

Supervision of Staff
  • Lead daily operations and administrative coordination for the Student Services administrative staff team, ensuring consistent office coverage and workflow.
  • Provide leadership and mentoring to direct reports and encourage cross training opportunities.
  • Manage schedules, assign duties, and conduct performance evaluations.
  • Ensure effective collaboration with College advising and other administrative units.
Graduate Appointment Processing 
  • Manage processing of graduate appointments.
  • Coordinate appointment types and funding distributions.
  • Process stipend changes, salary reallocations, and adjustments.
  • Liaise with internal and external units for fellowships, special assignments and awards.
Course Scheduling Administration
  • Oversee resident course scheduling.
  • Work with departmental leadership to meet teaching and instructional needs.
  • Manage schedule updates, instructor assignments, and room logistics.
  • Collaborate with staff on graduate student teaching and research assignments.
Clinical Training Program Support & Data Management
  • Support the design and use of databases for student records, course offerings, and workload tracking.
  • Oversee staff responsible for student and curriculum data collection and reporting.
  • Manage administrative support for the Clinical Training Program, including accreditation‑related data needs.
  • Coordinate staff work on internship processes and clinical recruitment activities.
  • Collaborate with faculty and program graduates to resolve data and reporting issues.
After training, the Academic Program Coordinator Supervisor will also work with various software including:
  • CourseLeaf CIM (Curriculum Management System)
  • Starfish (student success platform)
  • 25Live by CollegeNet (scheduling platform)
  • LionPATH (Penn State's student information system)
  • iTwo (web-based tool at Penn State used for data access, analysis, and distribution)
  • Canvas (Penn State's learning management system)

Qualifications:
  • Ability to be detail-oriented
  • Excellent communication (verbal and written), interpersonal, and problem-solving skills
  • Basic proficiency with Microsoft Office 365
