Job Summary
The Academic Recruiter will recruit highly qualified students to apply to and enroll in the UTA School of Social Work’s academic programs. Organize, create, and participate in on- and off-campus recruiting events, including preview days, college fairs, classroom presentations, information sessions, community outreach events, and high school and community college events. Travel to conferences, high schools, colleges, and other educational institutions to publicize and explain admission requirements and procedures for the School of Social Work’s academic programs. Assist prospective students in understanding admission requirements for entry into UTA and the School of Social Work. Develop and implement recruiting strategies to achieve target goals. Create and maintain a database of prospective student contacts and information. Support email, text, direct mail, social media, phone, and other marketing campaigns for prospective and UTA-enrolled students. Monitor all SSW UTA reports related to recruiting and admissions, contact students and assist with enrollment or re-enrollment, and connect students to financial aid, the registrar, housing, orientation, advising, the veteran’s office, or other organizations on campus. Assist with administrative and office functions related to recruiting, admissions, and community outreach. Respond to phone calls, correspondence, and email from prospective students and their family members. Perform data entry tasks. Prepare correspondence.
Essential Duties and Responsibilities
  • Recruit high school (public and private), charter school, community college, transfer, veterans, undergraduate, and graduate students to apply and enroll at UTA and the School of Social Work. Organize, create, and participate in on- and off-campus recruiting events, including preview days, college fairs, classroom presentations, admissions information sessions, community outreach events, high school and community college events, and academic conferences.
  • Provide information to prospective undergraduate and graduate students and their families at various stages of the college search cycle/funnel about freshman enrollment or the transfer admissions process and transfer credit and undergraduate and graduate educational opportunities at the School of Social Work. Review and evaluate prospective transfer and graduate students’ transcripts and provide general information on the requirements needed to meet qualifications for enrollment in our academic programs.
  • Create and maintain a prospective student contact and information database.
  • Input, respond to, and manage data in the SSW and University recruiting CRM. Manage Live Chat and pop-ups, responding in real time or as soon as possible to prospective students.
  • Monitor and complete daily tasks assigned in the CRM and by your supervisor. Respond promptly to all prospective student inquiries. Create and execute email, text, and phone marketing campaigns through the CRM. Monitor all SSW and UTA reports related to undergraduate and graduate recruiting and admissions information.
  • Contact students, assist with the application process, and connect them to financial aid, the registrar, housing, orientation, advising, the veteran’s office, or other organizations/offices on campus.
  • Manage and review application files from receipt through evaluation, ensuring that the files are accurate for determining admission decisions in the university’s CRM and other databases.
  • Maintain and update admission information across multiple databases, and follow up with probationary, readmitted, deferred, incomplete, and other applicants to ensure timely admissions.
  • Keep detailed records and logs to guarantee timely communication with prospective students, applicants, recruiters, admissions committee members, academic advisors, program directors, deans, supervisors, and staff.
  • Ensure a consistent and prompt flow of admission files within the Slate CRM and other online management systems.
  • Coordinate with University Admissions and other offices to resolve errors or issues and ensure accurate, timely admissions decisions are entered. Input official admissions information or decisions as directed by the supervisor and in line with SSW, UTA, and UT System requirements.
  • Ensure admissions information on websites, in marketing materials, on the application platform, and other communications is consistent and accurate.
  • Reconcile various university admissions reports with SSW data and information.
  • Assist with administrative and office functions related to recruiting, communications, marketing, special events and community outreach.
  • Work closely in a collaborative environment with SSW communications and marketing personnel and assist, support in providing content to the social media platforms, website content and other media channels for marketing and recruitment efforts. Inform supervisor and provide content update to errors found on the website and in marketing materials for programs, recruiting or admissions information.
  • Perform other duties as assigned.
Minimum Qualifications
  • Bachelor’s degree with three (3) or more years of experience in student recruitment or student services, including knowledge of higher education application and entrance requirements.
  • Demonstrate successful recruiting experience and experience with Customer Relationship Management (CRM) such as Slate, HubSpot, Salesforce, or another similar database management platform.
Preferred Qualifications
  • Master’s degree in social work, student counseling, higher education, psychology, business or marketing with three (3) or more years of experience in graduate student recruitment, transcript evaluation, residence life, student affairs, and/or advising high school, community college, transfer, and university students on registration, education, and career choices.
  • Excellent communication skills, including the ability to speak professionally in front of large groups.
  • Computer skills, including but not limited to Microsoft Office (Word, Excel, and PowerPoint). Experience using a Customer Relationship Management (CRM) platform such as Slate or HubSpot for student recruitment.
  • Experience using MyEmma, Fire Engine Red, or other email marketing software, MyMav, and ImageNow (Perceptive Content).
  • Experience developing graphics and marketing, advertising, and promotional materials for online and hardcopy use.
  • Experience in social media, traditional, email, and online digital marketing.
Knowledge, Skills and Abilities
  • Experience in public speaking and speaking in front of large groups.
  • Experience using a CRM or other data management tool for student recruiting or sales.
  • Professional experience developing PowerPoint presentations and other graphics.
  • Professional experience using online web conference platforms.
  • Excellent written and speaking communication skills.
  • Must be enthusiastic about promoting higher education and helping individuals find their education and career path.
