Job Summary
Provides administrative and program support for the undergraduate and graduate programs within the Department of Systems Engineering. Coordinates academic support processes, assists prospective and current students, and manages admissions-related activities. Maintains student records and departmental databases, supports course scheduling and registration, and ensures compliance with institutional policies and procedures. Also oversees departmental communications and marketing efforts, including website updates and social media, while delivering excellent customer service to students, faculty, and external stakeholders.

Minimum Education and Experience  | Bachelor’s degree or an equivalent combination of education and experience. Four or more years of administrative office experience in an academic environment. Excellent computer skills with various programs and ability to work with specialized databases. Outstanding customer service skills.

Essential Duties and Responsibilities  | Serves as a department liaison for prospective undergraduate & graduate students. Assists the graduate committee with processing applications for graduate admission. Responsible for ensuring the accuracy and adequacy of student academic records. Prepares and disseminates information related to admission, scholarship, and financial aid to prospective graduate students in an ethical manner to ensure confidentiality and FERPA compliance. Answers routine correspondence concerning inquiries on the undergraduate and graduate programs. Explains policies and procedures and informs students of upcoming deadlines. Assists with tracking funding opportunities for new undergraduate and graduate students. Maintains electronic files, statistics, and databases on undergraduate and graduate students and applicants. Assists students enrolled with course registration. Responsible for ensuring compliance with institutional rules, regulations, and procedures. Coursebook, Catalog, Scheduling for undergraduate and graduate programs Process and organize applications for student admissions. Advise students on admission and program requirements, scholarships, and funding opportunities. Prepares funding offers, including RA/TA, and Internal scholarship offers. Support onboarding for incoming students as well as coordinate current students’ events in the Systems Engineering Department Leads the department marketing and communication, including social media strategies, and website updates. Performs related duties as assigned. Provides office coverage as needed.

Additional Information  | Remote Notice: After the probationary period, this role may be eligible for a hybrid (partly remote/partly in office) work schedule, subject to business need and manager approval. May be required to use personal computer and other standard office equipment. Must be located within the DFW Area and have the ability to be on campus with 24 hours of notice. A UT Dallas Remote Work Agreement will be required within 14 days after approval.
