Position Overview
We are seeking a highly organized and proactive Administrative Associate to provide advanced administrative support for NCTA Senior Leadership, faculty, and staff. This role is pivotal in ensuring the efficient daily operations of the senior leadership office, coordinating strategic initiatives, and supporting special projects and committees. The ideal candidate will demonstrate excellent judgment, discretion, and professionalism, with the ability to work independently and collaboratively across various departments. A strong commitment to integrity, compassion, and service excellence is essential.
Duties and ResponsibilitiesExecutive Support & Office Management: Provide comprehensive administrative support to NCTA Senior Leadership, including calendar management, meeting coordination, document preparation, and oversight of daily office operations to ensure efficiency and alignment with university procedures. Serve as a backup for other administrative staff as needed to maintain continuity of operations.
Strategic and Committee Coordination: Support ongoing strategic initiatives by assisting with planning, tracking progress, and providing administrative support to special committees involved in college affairs, including the strategic plan.
Project and Event Coordination: Organize and support special events, projects, and initiatives led by senior leadership, ensuring smooth execution through timeline management, resource coordination, and effective communication.
Communication & Confidential Information Handling: Serve as a key point of contact for the office, managing internal and external communications with professionalism and confidentiality. Maintain organized systems for records, correspondence, and information requests.

Minimum Required Qualifications | Bachelor’s degree plus two years progressively responsible administrative experience in higher education or comparable complex organization. Additional experience may substitute for education on a year-for-year basis. Strong computer skills with word processing, spreadsheets, and presentation software. Able to set up and troubleshoot A/V equipment and coordinate remote meetings with multiple attendees. Excellent written and verbal communication skills, with the ability to draft professional correspondence and take accurate notes and meeting minutes. Strong organizational and time management abilities; capable of prioritizing multiple tasks, meeting deadlines, and performing basic math for reports or presentations. Demonstrated ability to maintain confidentiality, take initiative to resolve issues independently, and work effectively as a collaborative and reliable team member.
