Required Qualifications: Applicants must specifically address how they meet these required qualifications to meet the requirements of the position. | High school diploma or equivalent. Minimum of one year of experience in budget management or financial operations, preferably in a higher education setting. Proficiency in financial software systems, Microsoft Excel, Word, Teams and other relevant computer software programs. Strong analytical, organizational, and communication skills.
Preferred Qualifications | Bachelor’s degree in accounting, Finance, Business Administration, or a related field. Experience with university financial systems (e.g., SAP, Banner). Familiarity with student affairs operations and funding models. Demonstrated ability to manage multiple priorities in a fast-paced environment. Experience with TXST University software and programs (SAP, People Admin, Adobe Sign)
Job Description | The Administrative Budget Specialist in the Student Involvement and Engagement department provides comprehensive financial and administrative support for the Student Involvement and Engagement department, with a focus on budget planning, fiscal oversight, and operational efficiency. This role ensures compliance with institutional and state policies, supports strategic financial planning, and contributes to the department’s mission of enhancing student engagement and success.
Job Duties | Develop, monitor, and reconcile departmental and program budgets, including state, local, and auxiliary funds. Prepare financial reports, forecasts, and budget justifications for internal and external stakeholders. Manage purchasing card transactions, travel reimbursements, and procurement processes in accordance with university policies. Coordinate annual budget submissions and mid-year reviews in collaboration with unit leaders. Maintain accurate records of financial transactions and ensure timely processing of personnel change requests (PCRs). Serve as the primary liaison with the Division of Student Success Budget Director, Budget Office, Payroll, and Procurement Services. Support contract management, vendor relations, and compliance documentation. Assist in long-term financial planning and resource allocation aligned with divisional goals. Provide data analysis and recommendations to inform decision-making and improve operational efficiency. Participate in departmental assessment and reporting processes, including contributions to the annual report. Serve on division-wide committees and task forces as assigned.
Support training and onboarding of staff on budget and administrative procedures. Perform other duties as assigned to support the mission of the division and university.
