Administrative Coordinator - Delaware Law School Full Description

Widener University Delaware Law School is currently seeking an Administrative Coordinator for the Career Development Office (CDO) and the Office of Experiential Learning (EL) in Wilmington, DE.  This newly-created role will support our mission to provide our students and alumni with high quality career counseling, services, and programming which will prepare them to succeed in a competitive marketplace. 

Reporting to the Assistant Dean of CDO & the Associate Dean of EL, this role provides support for key career programming and services for law, paralegal, LL.M., and Masters in Jurisprudence (M.J.) students and graduates, as well as support for experiential learning for law students. Our office seeks a professional, personable, and highly organized individual with strong attention to detail and multi-tasking skills.  In addition, as this role interacts significantly with the students, alumni, employers, field placement supervisors and faculty. Strong verbal and written communication skills are required.

DUTIES AND RESPONSIBILITIES (including, but not limited to)
Essential duties CDO
  • Monitor and respond to office email/phone calls from the courts, employers, students, and graduates. 
  • Coordinate all job posting services including internet research of potential job prospects, outreach to employers to promote services, communication with employers to finalize listings of opportunities.  
  • Initiate recruitment of employers for on/off campus (OCI) programs, and process/approve employer job postings and registrations for job posting and OCI registrations in the Symplicity database. 
  • Manage the administration of the Fall and Spring OCI programs including inviting legal employers, following up with employers, ensuring employer receipt of student applications, and trouble-shooting during OCI in-person or virtual interviewing days in the Spring and Fall. 
  • As part of the CDO’s American Bar Association (ABA) compliance responsibilities, facilitate the collection of student employment data, maintain understanding ABA employment reporting requirements, and perform entry of at-graduation and 10-month employment data into Symplicity database.  
  • Coordinate the 1L mentoring program including updating communications to invite potential mentors and mentees, facilitating matching of mentors with mentees, communicating matches to participants, trouble-shooting and following up with mentors and mentees. 
  • Perform research to update employer contact information in Symplicity. 
  • Assist with student scheduling of career counseling appointments. 
  • Process student and alumni requests for reciprocity with other law school career development offices. 
  • Draft emails to students and graduates promoting job opportunities in our Symplicity job bank, external job fairs, or career events. 
  • Order office supplies and ensures maintenance of office equipment. 
  • Develop, organize, and maintain departmental files. 

Essential duties EL:  
  • Coordinate and organize student applications for experiential learning opportunities (clinics, externships & internships). 
  • Communicates with field placement supervisors to obtain written confirmation of internal and external field placements. 
  • Assists with the administration of Summer, Fall and Spring EL programs including inviting potential field placements, processing registrations, following up with potential placements, ensuring receipt of student applications, and trouble-shooting interviewing (when applicable). 
  • Monitors and responds to office email/phone calls from field placement supervisors and students. 
  • Manages & maintains the collection of student experiential learning data (clinic and field placement engagement).  
  • Coordinates and performs research to update field placement contact information and application information. 
  • Assists with student scheduling of field placement counseling appointments. 
  • Drafts emails to students promoting field placement opportunities in cooperation with our Career Development Office (CDO). 
  • Orders office supplies and ensures maintenance of office equipment. 
  • Manages, develops, organizes, and maintains departmental files. 

Secondary responsibilities: 
  • Perform other job-related duties as assigned or directed. 

MINIMUM QUALIFICATIONS (education/training and experience required)
Required: 
  • Associate’s degree
  • High school diploma or equivalent
  • Minimum 3+ years of secretarial/administrative experience in an office environment supporting senior level staff. 
  • As representative of the university, possess professional presence to respond to first–level employer contacts with legal employers, Courts, students, alumni, law school faculty, and staff.  
  • Strong oral and written communication skills. 
  • Strong organizational skills and attention to detail; flexible and able to handle several tasks simultaneously. 
  • Ability to take initiative in order to complete projects in a timely fashion. 
  • Ability to comfortably navigate multiple technology platforms and to learn new platforms as required. 
  • Strong proficiency with Microsoft Office Suite especially Outlook, Word, Excel, and PowerPoint. 

Preferred: 
  • Bachelor’s degree 
  • Minimum 5+ years of secretarial/administrative experience in an office environment supporting senior level staff. 
  • Understanding of project management and/or event planning/coordination through work experience 
  • Previous experience in law-related office, legal industry, or human resources

  • Occasional standing, walking, or climbing stairs.
