Essential Job Functions | This position provides comprehensive administrative support to the Chair of the Psychology Department at Appalachian State University. The department offers approximately 100 classes per semester across graduate and undergraduate concentrations. Its mission is to foster an understanding of the mechanisms of animal and human behavior, contributing to a liberal education and forming the foundation for professional practice in psychology.
The Administrative Support Specialist plays a key role in ensuring the smooth operation of departmental activities and maintaining effective communication among faculty, staff, and students. A successful candidate will demonstrate strong organizational skills, attention to detail, and the ability to work collaboratively in a dynamic academic environment.
Responsibilities & Duties Include: Supervise office assistant and graduate assistants. Manage departmental budgets, including grants, foundation, and faculty accounts. Order supplies and equipment for departmental use. Assist the department chair with course term audits and class scheduling. Process travel arrangements and reimbursements for prospective faculty and guests. Establish and maintain personnel and departmental records. Compile, edit, and proofread departmental reports and communications. Manage and track graduate applications, assistantships, test scores, and thesis progress (including committee composition). Perform other duties as assigned to support departmental operations.
Knowledge, Skills, & Abilities Required for this Position | Considerable knowledge of University policies and procedures Proficiency in general office techniques and administrative practices Ability to communicate effectively verbally and in writing Accurate word processing skills with a minimum typing speed of 60 words per minute Considerable knowledge of Banner Finance and Student Information System Strong multitasking abilities and the capacity to manage competing priorities efficiently

Required Functional Competencies to Successfully Perform Job Duties. | Budgeting: Exercises responsibility for administering the budget, which includes making recommendations regarding the use and distribution of funds. In conjunction with the administrator, advises subordinate units on fiscal matters such as budget planning, budget analysis, and funding sources. Manages the overall budget for the administrator by reporting expenditures and allocation of funds and sources on a regular basis. Interprets and applies all aspects of the P-card purchasing policies and procedures as well as special funds accounting for grants along with university policies and procedures of purchasing.
Information/Records Administration: Coordinates varied records processing activities requiring the application and some interpretation of agency procedures, policies, laws, and regulations. Reviews information for completeness and accuracy using multiple guidelines. In-depth knowledge of the archive procedures and tenure and promotion policies and procedures. In-depth knowledge of the Resource Manual, University Policies and Procedures, Faculty Search requirements. Maintains records of faculty needs such as travel, contracts, and scheduling.
Communication-Verbal: Interprets guidelines, answers inquiries and advises others regarding processes, services, and operations as applied to non-standard situations. Communicates expectations to other employees, which may include formal/informal training. Schedules and coordinates appointments, meetings and events.
Communication-Written: Independently compiles, analyzes, assimilates, and composes information into varied or non-standard formats with responsibility for content review, accuracy, quality, and timelines, requiring in-depth program knowledge and interpretation. Correspondence related to special events.
