Job Summary/Basic Function
The Admissions Counselor position is responsible for a multitude of duties including providing information to potential students and traveling for recruitment of students to various high schools, community colleges, and other educational institutions. The Admissions Counselor position will also assist and facilitate all efforts pertaining to the admissions process of the institution.
Minimum Qualifications
Bachelor’s degree from an accredited college or university.
Strong interpersonal, written, and verbal communication skills, including the ability to present information to groups.
Ability to work independently while managing multiple priorities in a fast-paced environment.
Willingness and ability to travel extensively and work evenings and weekends during peak recruitment periods.
Valid driver’s license and ability to operate a university vehicle or travel for recruitment activities.
Basic proficiency with office technology and software (e.g., Microsoft Office, CRM or student information systems).
Preferred Qualifications
Previous experience in college admissions, recruitment, student services, or a related higher education setting.
Experience presenting to groups or conducting outreach to prospective students, families, or community organizations.
Familiarity with admissions CRM systems or student information systems (e.g., Slate, Banner, or similar platforms).
Experience working with diverse student populations, including first-generation, rural, or transfer students.
Knowledge of college admissions processes, financial aid basics, and enrollment management practices.
Experience planning or assisting with recruitment events such as open houses, campus visits, or college fairs.
Knowledge of the regional high school landscape and college-going environment.

Job Duties
Description of Job Duties
Travel:
  1. Attend College Fairs and individual visits to high schools, community colleges, and other educational institutions in your recruitment territory.
  2. Travel can take place during the morning, afternoon, or after hours in the evening.
  3. Travel may also take place outside of the approved recruitment territory including covering for other admissions counselors or events outside of any territory.
  4. Initiate and/or help coordinate campus visits for individuals and groups including K-12 students, transfer students, parents, and community-based organizations.
  5. Represent the university by participating in several on and off campus recruiting events, ceremonies, and workshops.
Application Evaluation:
  1. Review academic materials that include but are not limited to GPA for freshmen, transfer, and readmit students, GED/TASC/HiSET scores, SAT/ACT scores, or any other academic requirement based on student type.
  2. Make appropriate admissions decisions on student applications
  3. Notify students of next steps at the institution including academic advising, transfer credit evaluation, events, financial aid, etc.
On Campus Assistance:
  1. Act as liaison for a college, department, and/or academic programs on campus including but not limited to the College of Arts, Humanities, and Social Sciences, College of Business, Recreation, and Education, College of Science, Technology, Engineering, Math, and Nursing, Honors Program, and International Affairs
  2. Meet and counsel prospective and new students regarding academic programs, admissions requirements and procedures, and other questions and concerns
  3. Provide presentations for weekday campus tours, group visitations, and more
  4. Provide tours of campus if there is no student ambassador coverage
  5. Serve as an admissions representative on a university-sanctioned committee; to be nominated by the Director of Admissions or President of Shepherd University
  6. Assist with office processes including but not limited to office coverage, Academic Common Market reporting and outreach, data entry, and transcript processing when needed
Strategy:
  1. Marketing – Provide input for revision of admission and program brochures and recommend ideas for information/recruiting materials.
  2. Travel – Assist in development of annual recruitment travel schedule based on trends, zip code, income, and educational analysis. This information would come from a yearly travel log.
  3. Technology – Regularly utilize technologies to assist in all aspects of segment strategies including but not limited to utilizing Banner SIS, Target X/Salesforce, Argos
Communication:
  1. Meet or exceed contact requirements which include but are not limited to phone calls, email, and the text platform
  2. Be flexible when it comes to answering phone calls and text messages, responding to emails from students, staff, and faculty and responding to Microsoft Teams messages
  3. Maintain contact with high school guidance counselors to manage concerns and questions
  4. Commit to learning what our customers’ need and wants are and developing a plan that implements customer friendly strategies
Transfer Counselor Specific Duties:
  1. Input transfer credits in Banner SIS and work with the Office of the Registrar throughout the degree evaluation process
  2. Maintain and update transfer pages on the Office of Admissions website.
  3. Create and develop transfer specific email messaging and campaigns in Target X/Salesforce
  4. Attend transfer fairs and visit local community colleges, specifically Hagerstown Community College, Frederick Community College, and Blue Ridge Community and Technical College
  5. Train new admissions staff on the transfer process and stay current with current trends and strategies for transfer recruitment, as well as 2+2 agreements
