Assistant Director, Medical Student Career Services Full Description

The Assistant Director, Medical Student Career Services in the Office of Student Success provides individualized early and progressive career exploration to help students secure a successful residency placement. This position provides comprehensive, developmentally appropriate advising and programmatic support for medical students throughout the four years of the curriculum, from matriculation through graduation, and plays a central role in helping students explore career options, understand specialty expectations, and prepare for competitive residency applications.
This position works in a team-based environment with the Director of Medical Student Career Services, focusing on assisting students with early assembly and updates of key residency application materials. It utilizes a data-driven, student-centered approach and collaborates with various stakeholders.

Minimum Qualifications
  • Master's degree and 3 years professional experience in career development, higher education, human resources or a closely related field, OR a bachelor's degree and a minimum of 5 years' experience in career development, higher education, human resources, or a closely related field.
  • Ability to work independently with minimal supervision and collaboratively in team settings.
  • Advanced organizational and time management skills, with the ability to manage multiple projects and deadlines simultaneously.
  • Excellent interpersonal skills that promote openness and trust, and the ability to build relationships with a variety of individuals.
  • Ability to inspire and engage students, faculty, and alumni to actively participate in the advising and mentoring of students.
  • Excellent verbal and written communication skills, with a position primarily involving student-facing interactions.
  • Proficiency in the Microsoft Office suite (Word, Excel, PowerPoint) and its use for collecting and managing data.

Preferred Qualifications
  • Degree in Higher Education, Counseling, Human Services, Psychology, Human Resources, or a closely related field.
  • Prior administrative experience in higher education, the healthcare system, or related professional settings.
  • Experience with medical student career advising at a Liaison Committee on Medical Education (LCME) accredited medical school.
  • Familiarity with the AAMC Careers in Medicine programs and resources.
  • Experience coaching, advising, and/or leading others.

Essential Functions
40% Early Career Advising and Residency Services: Develops and supports programming for early career development and identity formation, including workshops and a Careers in Medicine series; provides mentorship on early career goals; coordinates observership and shadowing opportunities; and collaborates with Marketing and Advancement on career-related programming.
20% Specialty Exploration and Networking: Plans and coordinates specialty fairs, panels, and networking events; supports structured advising milestones from M1 to M4 aligned with AAMC Careers in Medicine frameworks; and coaches students navigating career pivots or specialty decisions.
20% Residency Preparation and Application Support: Guides students through the ERAS and NRMP Match process, supports students reapplying or entering subsequent match cycles, and supports review of the Medical Student Performance Evaluation (MSPE).
15% Data Maintenance and Reporting: Maintains data sets on specialty choice and residency outcomes, monitors student progress, and compiles career advising metrics for LCME accreditation and leadership reporting.
5% Other duties as assigned within the Office of Student Success.

Working Conditions
This position requires regular communication with students, physicians, faculty administrators, alumni, and volunteers, and handling of sensitive and confidential information in compliance with FERPA and institutional policy. Occasional evening and weekend work supports special events. A valid driver's license is required.
