Assistant to Vice President for Brand Experience Full Description

As an assistant to the vice president for brand experience, you will manage the senior vice president’s (SVP) calendar, prioritizing urgent, high-level meetings with the president’s office and various departments and avoiding potential scheduling conflicts. You will prepare the SVP for all meetings and file high-level confidential requests and documents to and from the SVP. Responsibilities include the completion of onboarding paperwork for new employees, including workstation setup and meeting coordination for the first two weeks of employment; the approval of ecommerce purchases, travel requests, and reimbursements on behalf of the SVP for direct reports; and the coordination of quarterly staff meetings and staff appreciation events. You will also handle all incoming calls, respond to inquiries, and manage direct reports' time-off requests and approvals on the SVP's behalf. Among other duties, you will inform the SVP of the status of all projects while traveling, ensuring they progress while they are out of the office.

In this role, you will regularly distribute, organize, and update a staff directory for the SCAD Museum of Art and exhibitions teams. This responsibility includes maintaining a SCAD exhibitions operations shared folder. You will help organize and gather information for the budgeting process; track shipping, travel, and artist expenses; and order office supplies. Similarly, you will maintain office equipment and collect and distribute mail. Among other duties, you will gather bids for exhibition-related operations and production purposes, equipment, and materials as needed. You will assist the curatorial team with production-related needs, including obtaining quotations and ordering materials. Responsibilities include the creation and management of invoices, the maintenance of an up-to-date listing of annual exhibitions, and the management and distribution of meeting minutes.

In this position, you will work with the accounting office and curators to book reservations and maintain purchase orders. You will also work directly with the exhibition team to manage visiting artists’ itineraries, assist with hosting duties, and develop travel accommodations, including flight and hotel arrangements. You will file and complete classification paperwork, maintain knowledge of and familiarity with museum exhibitions, and engage museum visitors with information about the museum’s history, exhibitions, and exhibiting artists. Maintaining excellent working relationships with colleagues across internal departments is crucial to this role.
The ideal candidate demonstrates excellent written, verbal, and prioritization skills. They also possess excellent organizational and problem-solving skills. The candidate pays close attention to detail and manages their time well.

Minimum qualifications:  
·      Bachelor’s degree
·      At least five years of related work experience
·      Microsoft Word, Excel, and database skills
·      Work experience in an art environment and with confidentiality matters
·      Flexible availability during signature events, peak work times, and zone work hours when the SVP travels
Preferred qualifications: 
·      Gallery experience 

Travel required:
·      Less than 10%

Work hours: The university work week is Sunday through Saturday. Most offices are open Monday through Friday from 8:30 a.m. to 5:30 p.m. To accommodate business needs, employees may be assigned to other workdays and/or hours, including weekends and evenings.
