Job Description  | As a member of the SII/IVMF Budget team, this role is primarily responsible for financial management of sponsored projects from proposal development to reporting and closeout. The position involves overseeing daily financial activities, ensuring compliance with funder and University requirements, and maintaining accurate financial records. Key responsibilities include using financial systems to monitor expenses, facilitating University Credit Card audits, and the process for reconciling various expenses. The role also requires budget management overall program funding sources (unrestricted, gift, Sponsored), providing guidance for monthly reconciliations, and reporting on project activities.

Additionally, the position involves coordinating with stakeholders to ensure effective communication and compliance, serving as the primary contact for financial inquiries, and managing contract reviews and executions. The ideal candidate will exercise independent judgment to streamline the Sponsored award process, lead the preparation of proposal budgets, manage awards, and facilitate teamwork between programmatic leads and campus partners. Strong communication skills, attention to detail, and the ability to prioritize competing demands are essential.
Education and Experience  | Bachelor’s degree in finance, accounting, business administration, or a related field. Three (3) plus years of experience in financial operations or grants management, especially in a higher education or nonprofit environment. Experience with sponsored programs or federally funded projects is highly desirable.
Skills and Knowledge  | Proficiency in Microsoft Office Suite, with a strong focus on Excel. Ability to navigate adeptly in Windows file explorer. PeopleSoft Financials. Experienced with contract review, management, and execution. Expense monitoring and reconciliation. Budget Management. Problem solving and innovation-oriented. Attention-to-Detail. Ability to maintain composure in high-pressure situations. Capability to communicate complex information to diverse audiences.
Responsibilities  | Financial Operations and Compliance Managing daily financial activities, ensuring compliance with funder and University requirements, and maintaining accurate financial records. Use University Financial systems to prepare and update materials to assist in monitoring IVMF Sponsored, Restricted, and Unrestricted expenses. Assist with audit of ProCard expenses, providing monthly guidance on appropriate chartstring information, and ensuring timely processing. Analyze, process, and reconcile expenses to ensure accurate balance reporting. Including, but is not limited to, invoices, requisitions, travel and expense reimbursements, facilitation of vendor and subcontractor coordination, and submission of payroll allocations and manual journal entries as needed. Act as the department’s primary administrator for the effort reporting process. Liaise with Disbursements, Bursars Office, Comptroller’s Office and other relevant campus units to resolve issues related to payments, refunds, and other issues.  Budget Management and Reporting Monitoring project budgets, ensuring timely and accurate financial reporting for the IVMF. Provide guidance/materials/education to enable IVMF programs, services, and support teams to perform monthly reconciliation of program and event budgets. Independently analyze and report on project activity compared to budget, reporting to both program area leads as well as Budget teammates to ensure spending is on track and within grant requirements. Identify, develop, and implement best practices for internal grants management processes across the IVMF. Stakeholder Coordination and Support Coordinating with various stakeholders, providing financial process support, and ensuring effective communication and resolution of financial inquiries. Collaborate with IVMF Program teams, Development teams, the Offices of Sponsored Accounting and Programs throughout the funding lifecycle (proposal to closeout) to ensure that funder and University documentation requirements are met, project budgets align with program and funder needs, and all information is accurate, complete, and organized. Serve as the primary contact for financial process inquiries. Monitor the Budget and Operations Orange Tracker system and provide timely response/resolution to all queries. Coordinate contract reviews and executions with Programs and Services teams, University Counsel, and Comptroller’s Office to ensure timely contract processing. Other Duties as Assigned.
