Position Summary Information 
Job Description Summary  | Provide general admin/office support.

Responsibilities 
CPD General Responsibilities:
Provide quality customer service and accurate information over the phone, via email, and in-person. Ensure front office is tidy. Greet guests with professionalism and tact Check-in students in Handshake for appointments and drop-ins Receive and sort mail Support and assist with in-person and virtual events from start to end Monitor inventory and order supplies Help with research and data projects using Excel and Word when available. Help with documentation projects using Word, PowerPoint, Snipping tools, etc. All other duties as assigned. Support additional functional area 

Functional Areas:


Career Education
Facilitate 1:1 appointments, tabling events and presentations with undergraduate students on resume writing, career resources, job searching techniques, LinkedIn, and other career related inquiries Operate Handshake, Chapman’s Career Portal, from the admin side to make student appointments, track notes for student appointments, and manage document portal for all Chapman University students Provide support for various Career and Professional Development programs and events including tabling events, career fairs and networking events; collaborate with other student staff and all senior staff Create, update and provide suggestions on Career and Professional Development handouts, website, blog posts, presentation decks and collateral Utilize interpersonal skills including but not limited to: communication, teamwork, leadership, active listening and conflict resolution to best meet the needs of the students and staff Demonstrate a willingness to continue to learn by participating in ongoing and weekly trainings (training on career related content is provided) Cover letter required: Please submit a cover letter detailing why you are interested in the Peer Advisor role

Data and Systems
Prepare First Destination Survey data and career platform student data for analysis by data cleaning using Excel and Power Query Update KPI and other dashboards daily and identify data errors such as duplicate entries, misspellings, and invalid values Alter data using Excel and PowerBI to correct errors Pull data on our various career platforms and university platforms to design and build analytical reports and dashboards using Microsoft Power BI Validate data on reports and dashboards to ensure accuracy of values and calculations Manage approval queues and profile creations among our different career platforms such as Handshake, PeopleGrove, StandOut, VMock, CareerShift, and Vault Create lookup tables to map values into new values

Employer Engagement
Operate Handshake, Chapman’s Career Portal, from the admin side by approving employer events, new employer accounts and job postings Provide registration support to employers participating in Chapman’s key recruitment events including but not limited to, Career Fairs, Networking Nights, Mock Interviews, and Information Sessions. Manage the registration trackers, log payments and update attendees Conduct research on current and prospective employer partners in support of Employer Engagement outreach strategy Manage shared employer engagement inbox, responding to various types of emails regarding ways to recruit at Chapman, upcoming events and pending tasks in Handshake Share job/internship opportunities, events, and contacts with the appropriate Chapman career partner or staff member

Events
Students are involved in the planning, preparation and execution of events such as Career Fairs, Networking Nights, and Senior Week to ensure a seamless experience for all involved. This role offers a diverse range of responsibilities, as each event is unique. Responsibilities or tasks include but are not limited to: Create and plan simple signage to guide attendees at events Prepare event supplies, carry A-Frames, EZ ups and water cases, assist event setup and load-in Review and interpret detailed event diagrams to facilitate setup and execution Note that many tasks require standing, walking, lifting, carrying, reaching, pushing and pulling Utilize campus resources: Space Reservations: Reserve campus spaces using 25Live software Periodically drive Electric Service Vehicle cart (golf carts)

Internships
Support and respond to student internship related emails as well as support other department emails, such as Registrar in a professional manner relating to internship inquiries Review internship applications to check for accuracy of dates, credits, hours, details, & employer data before approving and inform student of any updates needed to continue with the approval Operate platforms such as the internship portal for application review, PeopleSoft for details on overloads of credits, SharePoint for shared documents, etc. all regarding student internship details in compliance with FERPAProcess tasks and duties such as verification letters requested by employers, petitions when students are requesting changes after deadlines, INTP’s for students who need to secure the course prior to financial aid distribution, etc. Maintain documents in the accurate file folders regarding students for future reference

Marketing
Students collaborating with the Office of Career and Professional Development (CPD) on marketing initiatives will contribute to one or more of the following key areas: Graphic Design: Conceptualize and create original graphics, flyers, and other visual content for various platforms, including email communications, social media, the CPD website, presentations, and digital signage. Copywriting: Develop compelling written content for CPD communications, such as newsletters and event invitations. This also involves utilizing platforms like Campaign Monitor and the Handshake email tool to build and send mass messages. Social Media Management: Curate a content calendar and manage the CPD’s social media presence. This includes independent work and collaboration with graphic designers to produce engaging posts and reels that leverage current trends and promote CPD resources. Multimedia Content Creation: Produce engaging short-form video content encompassing filming, editing, and original video development. Additionally, this area includes photographing CPD events and offering professional headshot photos for students.

Required Qualifications  | Little to minimal prior experience. Ability to learn support process. Familiarity with Microsoft Office Suite.
