The University Career Center & The President's Promise provides comprehensive career assistance for all University of Maryland, College Park students. Designed to support students through each stage of their career development, the Center offers various resources, services, and programs that empower students to pursue their ambitions and navigate a meaningful career journey.
Position Overview and Key Responsibilities:
The Career Events Coordinator coordinates all event activity (virtual, hybrid, and in-person) sponsored by the University Career Center & The President's Promise (Center). This includes, but is not limited to, campus-wide and boutique career & internship fairs; industry and population-specific programs, networking events, panels, career shuttle site visits, panels; employer/alumni engagement opportunities, Center events (staff meetings, retreats, advisory board meetings, industry/consortium conferences), and non-Center events as appropriate. The position will also provide administrative support to core Center operations.
This position works collaboratively with all Center staff and requires regular coordination with the Center's Marketing, Business Services, Operations, Front Desk and Assessment areas, as well as cross-campus partners.
Event Support and Management:
The Career Events Coordinator will support a wide variety of Center-based events to meet the needs of our many stakeholders. The position will also support the career programming efforts initiated by embedded College staff and their constituents. The Coordinator will serve as the project manager for said events and will ensure successful pre-event, day-of and post-event execution in partnership with each client. These include, but are not limited to:
Event Planning & Execution:
* Initiation of and/or participation in program planning and debrief meetings.
* Development of and adherence to event timelines.
* Reservation of event space and determination of appropriate room configuration.
* Coordinate all logistics, including vendor contracts, parking, food, technology/AV support, accommodation requests, etc.
* Oversight and support of in-person, virtual and/or hybrid event day-of setup, logistics and troubleshooting.
* Collaborate to develop and execute post-event assessments, ensuring event attendance/tracking, survey data/ feedback, and reporting of successes and challenges.
Resource Management:
* Management of event budgets to ensure cost and revenue targets are achieved.
* Liaise with marketing and staff clients to ensure print and digital materials are requested and delivered in a timely fashion.
Communication and Stakeholder Engagement:
* Facilitate coordination of event support related to marketing, IT, staffing and assessment support.
* Assist with appropriate communication to stakeholders.
* Champion access for all by purposefully planning and executing accessible and inclusive events.
Administrative and Operations Support:
* Maintain the Center's Google programming and planning calendar.
* Respond to event-related requests via Center's general inboxes.
* Utilize knowledge of Handshake system to support events functionality (event creation, registration management and monitoring and troubleshooting, as necessary).
The Career Events Coordinator will regularly gather input on program/event logistics from various stakeholders, provide staff training on standard operating procedures, and ensure staff are knowledgeable about trends and best practices. The Career Events Coordinator will maintain collaborative relationships with other event management campus entities and represent the Center at relevant industry-related conferences, as approved.
Supervision: May provide supervision to undergraduate student employees.
Physical Demands:
* The position requires schedule flexibility and a willingness to work outside of core hours as needed.
* Work takes place in both an office environment and in on-campus buildings; will require ability to travel throughout campus.
* Occasional physical exertion may be required to prepare and transport event supplies and equipment
Preferences:
* One year experience coordinating events or in project management, work with employers, or a customer-service focused role.
* Knowledge of project management platforms (such as Smartsheet), career, event and customer relationship management platforms (Handshake, Social Tables) and design software (Canva, Adobe Suite).
* Ability to work with and among diverse groups, and exhibit a commitment to inclusive practices.
* Demonstrated time management and problem resolution skills, as well as the ability to multitask and manage competing deadlines.
* Demonstrated sound judgement and discretion in work (related to budget, with vendors, various stakeholder groups).
Minimum Qualifications
Education: Bachelor's degree from an accredited college or university.
Experience: One (1) year of experience in marketing, communications, or event coordination.
Other: Additional work experience as defined above may be substituted on a year for year basis for up to four (4) years of the required education. Knowledge of best practices in customer service.
Knowledge of event planning and management.
Skill in oral and written communication.
Skill in the use of Microsoft Office products.
Ability to interpret and apply policies, procedures, regulations, and laws.
Ability to multitask while demonstrating a commitment to customer service
