Job Summary/Basic Function
Job Summary

WSU Career Services is seeking an administrative professional responsible for supporting career services activities, departmental operations, and administrative systems, including coordination of service delivery functions, financial tracking, and data management processes.

This position coordinates career services programming and operational activities, including scheduling, logistics, registration systems, and general administrative support for service delivery. The role supports financial tracking and administrative reporting for departmental operations by maintaining expenditure records, reconciling transactions, and assisting with budget monitoring and reporting using university financial systems (e.g., Banner/FOAPAL or equivalent).

The position maintains career services data systems, including data entry, validation, reporting, troubleshooting, and user support for internal and external stakeholders. It also supports administrative reporting and assessment functions used for departmental planning and decision-making.
This position provides operational support across career services functions, including cross-training in additional roles as assigned, assistance with data and technology projects, participation in committees, supervision of student employees, and other duties as assigned.

Education: Associate degree (or two years of full-time university-level coursework from an accredited institution).

Experience: Two years related full-time experience OR equivalent combination of education and experience.

Technical and computer skills including Windows OS (Mac OS a plus) and MS Word/Excel (or similar).

Candidates may bring experience from higher education, student services, administrative support, or other professional office environments. Familiarity with database, customer relationship management (CRM), or information management systems—such as Handshake or similar platforms—is helpful, as is experience supporting administrative functions like data reporting, records management, financial tracking, or program coordination.

Experience with data tools (e.g., Microsoft Excel or similar reporting tools) or supporting event coordination and program logistics can be beneficial in this role. Exposure to design, analytics, or database tools (such as Adobe Creative Suite, SQL, or relational database concepts like Microsoft Access) is a plus; however, candidates with a willingness to learn and apply new systems and tools are strongly encouraged to apply.
