Job Description:

Under direction, performs a variety of customer service and routine administrative tasks to provide for efficient and courteous operations of the ASU Speech and Hearing Clinic to ensure that the goals and objectives of the clinic reception are accomplished in accordance with priorities, time limitations or other specifications.

This role requires the employee to work on-site at two clinical locations Monday through Thursday: Pediatric Communication Clinic (inside First Christian Church, 2720 S. Dorsey Ln., Tempe, AZ 85282) and the ASU Speech and Hearing Clinic (ASU Tempe Campus, Coor Hall). The employee is responsible for traveling between sites during the workday and must have dependable transportation.

Essential Duties:

  • Performs medical office reception duties including but not limited to: greet patients, answer phones and return calls in a timely manner, read and respond to clinic emails, collect patient demographic and insurance information, schedule and manage clinic appointments, check patients in/out for appointments, collect balance due as appropriate, perform cash handling and credit card payment processing, complete daily collection reconciliation, process mail and deliveries, monitor and request supplies as necessary, complete clinic related maintenance requests.

  • Work with sensitive information including Protected Health Information under University HIPAA guidelines.

  • Creates and maintains patent records requiring classification and compilation of varied information within an Electronic Medical Record.

  • Drafts correspondence; answers questions or complaints and routes to the appropriate party if needed.

  • Coordinates activities of student workers and interns.

  • Checks, reviews or prepares records, reports, forms or other documents of various kinds pertinent to assigned function(s); personally investigates complicated problems or errors and makes appropriate corrections; performs technical or complex verification and reconciliation activities.

  • Communicates with faculty, staff, students and other university personnel to ensure efficient and accurate workflow.

  • Recommends changes to policies or procedures affecting assigned function.

  • Prepares and/or coordinates the preparation of recurring and special reports, tabulations or budgets unique to assigned function.

  • Ensures office staff are informed of new or revised procedures and any pertinent information regarding assigned function(s); updates related policy/procedure manuals.

  • Plans and prioritizes workload to meet set deadlines.

  • Performs other job related activities as requested/required.

  • Use a personal vehicle to travel to different campuses.

  • Participates in a variety of department and University educational programs to maintain current skill and competency levels; identifies and discusses performance or training needs with supervisor.

  • Other duties as assigned

Desired Qualifications:

  • Knowledge of the methods and practices of appointment scheduling, electronic medical record management, quality customer service, procedures and standards of patient registration, governmental and private insurance programs.

  • Skill in both verbal and written communication.

  • Capability to apply critical thinking skills to complete tasks accurately and efficiently resolve issues.

  • Ability to utilize effective communication and problem solving to efficiently identify issues, concerns and interests and provide effective solutions.

  • Consistently demonstrate personal responsibility and accountability for completion of all tasks.

  • Ability to work effectively and collaboratively in a team environment subject to changing priorities and frequent interruptions.

  • Previous experience in speech language pathology and/or audiology.

  • Previous experience in medical field.

  • Knowledge of leadership practices and coordinating activities of others.

Working Environment:

  • This position works with health and medical information protected by HIPAA regulations.

  • This role requires the employee to work on-site at two clinical locations Monday through Thursday: Pediatric Communication Clinic (inside First Christian Church, 2720 S. This position requires reliable transportation and the ability to travel between sites as part of the regular work schedule.

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work.

  • Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds.

  • Regular activities require ability to quickly change priorities, which may include and/or are subject to resolution of conflicts.

  • Visual acuity and manual dexterity associated with daily use of desktop computer.

  • Works from general instructions on standard job duties and specific directions/instructions on new assignments.
