The Administrative Coordinator (Advising) provides operational and administrative support to the Director, Academic, Career, & Transfer Advising while serving as a central coordination resource for advising support staff across multiple campus locations. This position helps ensure consistent student service operations by coordinating communication, coverage, procedures, and information sharing among campus support teams. The Administrative Coordinator (Advising) supports high-volume student engagement through phone, email, and chat services and provides backup in-person assistance when needed. Working collaboratively with campus managers and advising staff, this role helps maintain efficient workflows and a high standard of student support services.

Primary Duties Performed
  • Serve as primary administrative support to the Director of Advising and assist with day-to-day operational needs of the department.
  • Coordinate communication and workflow among advising support staff across all campus locations to help ensure consistent service delivery and office coverage.
  • Monitor support staff schedules and collaborate with campus managers to identify coverage needs for phones, email, chat, and front desk operations.
  • Facilitate the sharing of updated procedures, departmental information, and operational changes with advising support staff across campuses.
  • Assist in maintaining standardized processes, reference materials, and communication protocols for student support operations.
  • Support high-volume student service operations by assisting with phone, email, and chat communications as needed.
  • Provide backup assistance for in-person student traffic during staffing shortages, absences, or peak service periods.
  • Coordinate logistics for advising events, programming and trainings.
