Job Summary/Basic Function:  | The Coordinator of CECS Operations is responsible for leading, coordinating, and executing a variety of activities and administration of the College of Engineering and Computer Science Dean’s office to include coordination of new programs and program reviews, streamlining of various workflows and processes, oversight of front office operations and supervision of student employees. This position provides high-level support, coordination, and oversight of projects for the College of Engineering and Computer Science and is a central point of contact for a variety of stakeholders. This role plays a crucial role in ensuring coordination of activities and the efficient operation of the overall college.

Minimum Qualifications  | Bachelor’s degree and two years of full-time related work experience OR, an Associate’s degree and four years of full-time related work experience. Integrity and judgement necessary to maintain strict confidentiality at all times. Exceptional interpersonal, organizational, and time management skills. Ability to collect, organize and present complex data. Excellent problem-solving skills. Ability to anticipate, plan, and complete multiple projects/tasks in a timely manner. Effective verbal/written communication skills. Proficient with a variety of software programs including MS Office, Excel, Word and PowerPoint.

Essential Functions and percent of time:  | 50% Workflow and Process Improvements Leads and facilitates process improvement initiatives and projects Coordinates the collection of materials describing academic and research programs of the college, supervise development and distribution of materials that market programs and activities of the college, and maintains archive of such materials, collect relevant data to evaluate the effectiveness of recruitment initiatives and better understand the impact of various outreach and communication strategies. Generate and present executive-level reports on these activities. Gathers data and information about various processes and workflows in order to capture the essential function of the process as well as the risks of non-compliance. Analyzes this information to find areas of inefficiency, duplication, and frequent errors. Leads projects resulting from the analysis. Undertakes other special projects and/or committee assignments as directed by the Dean of CECS. Assists in process improvement and interventions through interdepartmental collaboration and planning and multi-disciplinary communication. Works with management to define the short-term and long-term objectives and potential gains that might result from a more in-depth review of a given process. Schedules focus groups of process stakeholders to understand customer ‘pain points’ with individual processes. Records take-aways from those meetings. Maintains and updates all process related documents for reference purposes. Coordinates with the Registrar’s office, advisors, and departments to send formal letters of college dismissals and honor roll; assists with degree certifications processing. Organizes process documents and develop workflows with a target of improving quality, reducing costs or increasing productivity to improve efficiency and customer satisfaction. Provides project updates, feedback, and appropriate reporting.

Essential Functions and percent of time (cont'd):  | 30% College Event Management and Marketing Strategizes and oversees all aspects of internal communications, social and digital media content, website development and maintenance, special events, and projects. Supervises the individual(s) responsible for maintaining the content of departmental websites to assure content is accurate. Oversees the scheduling of large-scale meetings and events for the college, such as trainings, meetings, focus groups, and other significant events. Responsible for ensuring smooth execution of college events; supervises others involved in planning the respective event. Leads efforts for all event communication in collaboration with leadership and relevant departments. Coordinates with dean and director of development to organize and plan External Advisory Board Meetings, donor and industry sponsor meetings, CECS faculty meetings, as well as other high-level meetings on and off campus. Assists with faculty, staff, and student recognition awards by attending nomination process and planning meetings. Acts as a liaison with relevant vendors, partner organizations, departments, and/or facilities and ensures event plans adhere to stipulated budget, specifications, policies, and standard procedures. Plans, organizes, and hosts the Order of the Engineer ceremonies; assists with commencement line up and student awards ceremonies; supports planning and preparation for the honor society inductions and banquets. Supports CECS student club events and activities.  10% Support of College Finances Responsible for transactional level financial and personnel aspects of the college office operations, including purchase requests, salary reallocations, and dissemination of financial data. Helps insure compliance with Wright Way policy for financial activities. Provides support and oversight to department budgets as requested. Initiates purchase requests, processes invoices, ensures compliance with budget. Maintains and monitors activities for budget reconciliations and projections. Coordinates with the assigned Fiscal Officers to complete personnel action forms, hiring processes, and position postings. Manages event expenses while utilizing university systems for purchases and reimbursements

5% Supervision of Student Employees Hires and directs student employees for front office coverage and other various projects. Interfaces with departmental personnel to arrange for projects and tasks for student employees to fulfill. Approves time sheets and handles day-to-day questions and scheduling of student employees.

5% Other duties as assignedUndertakes other duties as assigned to assist CECS in maintaining operations and/or goals.
