Creative Services Coordinator Full Description

Overview:

Working within Advancement’s Strategic Communications team, the Creative Services Coordinator (Marketer I) is tasked with a diverse set of responsibilities, so the person in this role needs to be flexible and proactive with a well-rounded set of communications and organizational skills. This position works closely with the entire University Advancement and Alumni Engagement team in elevating Utah State University through philanthropy and engagement.

 

Our creative projects include a myriad of printed pieces and digital assets, so the coordinator should be well versed in the requirements of each medium and possess the following competencies:

  • Highly organized: You’re able to keep track of multiple projects and can easily piece together disparate information and move between duties without missing a beat.
  • Impeccable time management: You can keep projects moving without getting bogged down by details and easily manage the amount of time it takes to complete them.
  • Keen eye for detail: You are good at catching errors and correctly filling in missing information.
  • Strategic mindset: You are a problem solver who understands that the why, who, what, where, when, and how of each project take precedence.
  • Project manager and doer: You can own the management of creative team projects and understand each project enough to step in and help do the work to get them across the finish line.
  • Continuous self-improvement: You’re a thoughtful and creative team member who does not take shortcuts or make excuses.
  • Respectful and focused: Treat clients respectfully and keep them focused on providing essential contents.

 We are a team of proactive and problem-solving strategic communications professionals looking for someone who can match our level of excellence. This role does not have a set process to follow or a list of tasks to check off each day, so it requires someone who is reliable and communicative, and takes the initiative to do the work without prompting. Strong decision-making, people skills, flexibility, and the acumen to prioritize work are essential to this position.

 

We need someone who understands why we do the work that we do and can make sure that purpose is clear throughout every piece of communication we produce.

Responsibilities:

Organization and Planning - 50%

  • Responsible for the oversight, management, and maintenance of ClickUp.
  • Serve as the gatekeeper and authority on project management and guide client’s goals into actionable steps. Ensure clients adhere to timelines you create, follow up with consequences when deadlines are not met, and acquire approvals.
  • Responsible for keeping the creative team’s folders organized and moving projects through the various stages of production on a daily basis.
  • Process all invoices in a timely manner and ensure accurate designations.
  • Serve as the technical expert for ClickUp software including training staff and providing updates and strategies on usage and production.

Creative and Strategy - 50%

  • Write, edit, and/or proof marketing copy for various advancement and alumni materials and ensure content fits intention of communication.
  • Gather, organize, prepare, and make decisions about contents (text, letters, photos, graphics, etc.) for a variety of strategic communications projects from multiple sources to ensure the team has all the elements they need to complete projects.
  • Serve as the strategic lead on planning and executing campaigns with multiple components and competing deadlines.
  • Prepare files for print and work with print, product, and mail vendors.
  • Actively participate in creative concept development sessions.
  • Utilize AI strategically and as an assistant to original thought, not as a substitute.
  • Perform miscellaneous job-related duties as assigned.
    • The Strategic Communications Team is small. The expectation is to perform duties related to project management and other duties within the Strategic Communications team that are not listed in the position description.

Qualifications:

Minimum Qualifications:

 

  • Four years of related experience; OR a bachelor’s degree in marketing, communications, English, public relations, business management or related field; OR an equivalent combination of education and experience.

Preferred Qualifications:

  • Experience managing ClickUp or similar project management system.
  • Professional writing and proofing experience.
  • Experience with Adobe Creative Cloud.
  • Design skills and creative project production experience extremely beneficial.
  • Experience working in Excel.

Knowledge, Skills, and Abilities:

  • Project management experience.
  • Knowledge of design and printing processes.
  • Knowledge of social media, email, and website tools.
  • Good grasp of AI fundamentals as a productivity tool.
  • Strong organizational skills and ability to prioritize tasks to meet varying and often competing deadlines.
  • Ability to be decisive and assertive.
  • Self-motivated to work independently and as part of a team.
  • Proactive and resourceful with excellent problem-solving skills.
  • Strong attention to detail, especially under deadline pressure.
  • Demonstrated ability to be flexible and collaborate effectively with colleagues.
  • Strong, respectful communication skills in both verbal and written communication.
  • Fundamental understanding of the mission of University Advancement and Alumni Engagement.
