Job Description
As part of the Prospect Research & Data Integrity Team, the Data Integrity Specialist plays a vital role in supporting fundraising, engagement, and prospect development efforts through accurate, consistent, and timely data management. Clean, reliable data is essential to maintaining strong constituent relationships, ensuring meaningful engagement, and supporting strategic decision-making across Advancement.
The Specialist supports broader Advancement partners by executing data hygiene initiatives, validating constituent information, and ensuring adherence to established data standards. This role requires intellectual curiosity, strong attention to detail, and a commitment to accuracy. Reporting to the Director of Prospect Research, this position will be responsible for the following:
• Maintaining and updating constituent records through accurate data entry, data imports/changes, and ongoing data hygiene efforts aligned with university and Advancement standards.
• Processing constituent updates from Advancement colleagues and validating information through baseline research and established risk control practices.
• Improving data quality by resolving duplicates, supporting audits and data projects, updating documentation, and assisting with basic data analysis using tools such as Excel and database queries.
• Supporting data enrichment efforts, including third-party data appends, and helping test new or updated database features.
• Partnering with Prospect Research and other Advancement teams to troubleshoot data issues, understanding data structure and flow, and providing guidance on data policy and best practices.
• Contributing to maintaining data policy documentation and SOPs, identifying opportunities for process improvements, and assisting with cross-departmental projects as needed.
Required Qualifications
• Bachelor’s degree in a related field or an equivalent combination of education, training, and/or experience.
• Experience performing data entry or data maintenance in a professional or administrative setting.
• Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint).
• Demonstrated ability to learn and apply relational database technologies to improve data quality and operational efficiency.
• Demonstrated accuracy, attention to detail, and ability to follow established procedures.
• Ability to handle confidential information with discretion and exercise sound judgment.
• Effective communication skills and the ability to work collaboratively in a diverse team environment.
• Ability to manage multiple tasks and meet deadlines while maintaining accuracy.
Preferred Qualifications
• Experience working with database systems in environments requiring data updates, maintenance, auditing, or documentation.
• Familiarity with donor or customer relationship management databases, or other large administrative data systems.
• Experience identifying data inconsistencies or using tools to analyze or validate data.
• Understanding of basic data structures, database tables, or data governance concepts.
• Experience working with constituent, donor, or student information in higher education or nonprofit settings.
