Position Description
Advertised Job Summary | Under minimal supervision, reporting to the Senior Associate Vice President for Development and Campaign Director (Senior AVP), the Development Coordinator provides comprehensive administrative support to include complex high-level tasks, confidential and detailed project support to all constituent units/colleges with strategic coordination. Responsible for executing a variety of administrative, technical, and customer service functions to ensure smooth, day-to-day program operations. Serves as a member of the USC Development team and operates within systems, policies and procedures of Development to ensure consistent and well-coordinated activities to further the mission of the Division of Development and the University of South Carolina.
Job Related Minimum Required Education and Experience | Requires a bachelor’s degree in a job related field and 3 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience.
Required Certification, Licensure/Other Credentials | None.
Preferred Qualifications | Bachelor’s degree and 3 years’ experience in the area of development/advancement program or a related industry. Experience in higher education or other non-profit organizations. Above average skills with Microsoft professional Package (Word, Outlook, Excel, and PowerPoint) and Co-Pilot. Familiarity with USC policies, procedures, and systems.
Knowledge/Skills/Abilities | Demonstrated proficiency in both verbal and written communication skills, attention to detail, customer-service orientation, and the ability to work independently while contributing to the office functions. Established administrator in a fast paced and complex organization with past experience exceeding expectations of demanding internal and external constituencies. Ability to exercise excellent professional judgment and discretion. The ability to interpret information accurately, take direction, initiate action, and work as a team member is essential. Expertise and past experience working with budget management, especially expense reimbursement and account payable. Demonstrated proficiency in the gift planning software and able to run gift calculations, with and without supervision. Substantial knowledge of computers and various computer software programs (proficiency in MS Word, Excel, PowerPoint and Adobe Acrobat Professional). A sense of accountability to oneself and for others as it relates to meeting commitments, inclusive management style that actively solicits input from team members. Processes high level of integrity, confidence and positive attitude while being mission driven.

1. General and Complex Administrative Support:o Provides high-level administrative support to the Senior Associate Vice President (AVP) and Development leadership team, managing complex calendars, coordinating internal and external meetings, and ensuring seamless communication across departments.o Oversees scheduling and logistical coordination for key leadership meetings, including the Campaign Organizing Committee and other strategic initiatives.o Collaborates closely with the Executive Assistant to the Vice President for Development to align executive support functions and streamline operations.o Serves as the primary point of contact for all administrative processes related to expenses, reimbursements, and procurement, ensuring accurate tracking, reconciliation, and compliance with institutional policies.o Supports financial operations by processing deposits, initiating payment requests, and coordinating with Development Finance and related departments on donor funds, endowments, and vendor payments.o Manages comprehensive travel arrangements for the Senior AVP and leadership team, including itinerary planning, booking, and post-travel documentation.o Assists in the review and coordination of proposals, gift agreements, and interdepartmental initiatives involving Advancement Services, Annual Giving, Donor Relations, and other Development units.o Drafts and sends donor and prospect correspondence in support of leadership travel and engagement efforts.o Acts as the administrative subject matter expert for the Constituent Services team, proactively anticipating the needs of fundraisers and ensuring operational excellence.

Blackbaud/Databases and Reporting:o Serves as the CRM and database subject matter expert for the Constituent Services team, leveraging tools such as Blackbaud CRM, Visual Analyzer, LiveAlumni, and Insightful to support donor engagement and fundraising strategy.o Maintains accurate and up-to-date donor, prospect, and alumni records through diligent data entry and coordination with Advancement Services.o Generates and distributes performance reports to the Senior AVP, tracking unit and individual fundraiser productivity.o Supports fundraisers by preparing data-informed travel materials and post-visit follow-up documentation to enhance donor cultivation efforts.
