Position Summary
The Director of Enrollment Operations and CRM leads the strategic development, optimization, and management of North Central College’s enrollment technology infrastructure, data systems, processes, and data analysis across all entry types (undergraduate and graduate).Reporting directly to the Vice President for Enrollment Strategy and partnering closely with the Director of CRM Strategy and Institutional Insights, this role serves as enrollment management’s primary system administrator and strategist for Slate. The Director manages critical, high-volume data bridges—specifically between Slate, Centralized Application Services (CAS) platforms, other external platforms/vendors, and Ellucian Colleague—ensuring a seamless flow of data. This leader supervises a team dedicated to application processing, communication infrastructure, data integrity, and data analysis, transforming complex technical systems into high-efficiency workflows that support the institution’s enrollment goals.
Description of Key Responsibilities | Core Responsibilities
1. CRM Strategy and Slate System Administration (35%)Comprehensive System Partnership: Act as enrollment management’s primary Slate leader, partnering with the Director of CRM Strategy and Institutional Insights on database architecture, configuration, user permissions, and release management for all enrollment types. Unified Workflow Optimization: Build, refine, and maintain distinct application workflows, Reader bins, and conditional evaluation forms tailored to the varying needs of undergraduate and graduate programs. Rule Governance and Automation: Maintain clean rule architecture using exclusivity groups. Automate checklist mapping, document processing, and bin movement to minimize manual processing touches. Environment Testing: Assist in systemic updates, configuration changes, and new feature deployments using Time Warp and test environments prior to production release.
2. Prospective Student and Influencer Communication Architecture (20%) Omnichannel Communications: Technical design, execution, and automation of communication protocols using Slate Deliver (email, SMS, and print) targeting prospective students and their key influencers (parents, families, employers, high school counselors and community college counselors). Audience Segmentation: Leverage Configurable Joins and custom fields to build complex population segments, ensuring highly targeted messaging based on student type, academic interest, and influencer relationship. Dynamic and Portal Experiences: Develop, maintain, and test custom Slate Portals and dynamic content blocks that serve personalized enrollment checklist steps and engagement opportunities to both students and their influencers. Protocol Quality Assurance: Implement rigorous testing protocols for all communication campaigns, tracking metrics like bounce rates, opt-outs, and click-through rates to ensure message deliverability and compliance (CAN-SPAM, TCPA).
3. CAS, SIS Integration, Operations and Data Integrity (20%) Multi-System Integration: Oversee, audit, and optimize data integrations across the enrollment ecosystem, specifically managing data routing among CAS platforms, external vendors, Slate, and Ellucian Colleague. CAS Data Mapping: Manage the ingestion of external CAS applications, transcripts, and test scores into Slate, maintaining accurate custom source formats and mapping layouts. Ellucian Colleague Synchronization: Maintain the primary data bridge to the institutional SIS (Colleague) for prompt student ID generation, bio-demographic updates, and matriculation data processing. Process Engineering: Evaluate the enrollment funnel continuously to eliminate operational bottlenecks, reduce application turnaround times, and scale processing capabilities. Data Hygiene and Security: Supervise automated data-scrubbing routines, duplicate record management, address validation, and standard compliance rules to ensure a single, accurate source of truth in Slate and Colleague. Data Governance: Participate in ongoing institutional data governance and data platform development in collaboration with Information Technology Services and Institutional Effectiveness teams. Team Leadership: Manage, mentor, train, evaluate, and professionalize a team of operations coordinators, data specialists, and application processing staff.
4. Analytics and Reporting (15%) Executive Insights: Provide the Vice President for Enrollment Strategy with real-time data, predictive funnel tracking, and volume forecasting to inform institutional strategy using Slate and other institutional data and reporting systems. Strategic Reporting: Build, maintain, and analyze queries and visual dashboards to track recruitment KPIs, application volume, communication engagement, and conversion metrics.
5. Training and Cross-Campus Collaboration (10%) Recruiter Enablement: Create clear system documentation and lead regular training sessions for admissions staff, coaches, and faculty reviewers. Stakeholder Alignment: Act as the primary operational liaison between Enrollment Strategy, ITS, the Registrar, and Institutional Research to align practices and processes.
Required Knowledge, Skills and Abilities | Required Knowledge, Skills, and Abilities Advanced knowledge of enrollment operations, CRM systems, and student information systems in higher education. Advanced knowledge of Slate administration, including Configurable Joins, Rules, Reader, Deliver, portals, data imports, permissions, and workflow automation. Knowledge of data integrations, file mapping, data governance, data integrity, and information security practices. Strong analytical and problem-solving skills, including the ability to build and interpret complex queries, reports, dashboards, and enrollment data. Ability to evaluate processes, identify efficiencies, and develop scalable automated workflows. Strong technical troubleshooting skills across systems, integrations, data, and business processes. Strong leadership and supervisory skills with the ability to train, mentor, and develop staff. Ability to manage multiple priorities and complex projects in a high-volume environment while maintaining accuracy and meeting deadlines. Strong written and verbal communication skills with the ability to explain technical information to technical and non-technical audiences. Ability to collaborate effectively across departments and build productive working relationships. Ability to exercise sound judgment, discretion, initiative, and attention to detail when handling sensitive information. Ability to adapt to changing technology, enrollment priorities, and institutional needs.
Required QualificationsEducation: Bachelor’s degree from an accredited institution. Experience: Minimum of 5 years of progressive experience in institutional data management, enrollment operations, or higher education admissions. Slate Expertise: At least 3 years of hands-on experience as a Slate Administrator (Slate Captain) with deep knowledge of Configurable Joins, Rules, Reader architecture, and Slate Deliver. Integration Experience: Proven technical experience managing automated data imports, custom file mappings, and data translations from external application platforms (e.g. CAS). Communication Management: Demonstrated experience building multi-tiered, automated communication tracks utilizing dynamic content and variable recipient mapping. Analytical Skills: Advanced proficiency in data analysis, database management, and building complex queries.
Preferred Qualifications Education: Master’s degree in data analytics, business administration, or a related field. Systems Experience: Direct experience managing complex data integrations, field mapping, and troubleshooting across Slate, CAS, and Ellucian Colleague. Influencer Marketing Tech: Experience mapping parent/influencer records to student records in Slate to execute sophisticated relational marketing strategies. Leadership: Prior experience managing professional staff and leading cross-functional software optimization projects.

The position serves as a key resource for enrollment technology and operations, with primary responsibility for Slate administration, system integrations, data integrity, workflow optimization, and operational efficiency. The Director combines technical expertise, analytical thinking, and leadership to improve processes, resolve complex system and data issues, and develop scalable solutions.
This role works closely with Enrollment Strategy, Information Technology Services, the Registrar, Institutional Effectiveness, and other campus partners while leading and developing staff responsible for enrollment operations, data management, communications, and reporting.
