Position Summary
The Enrollment Verification and Registration Technician is responsible for the accurate, timely, and FERPA-compliant processing of student academic records, with a specific focus on verification of enrollment. This position serves as the primary point of contact for enrollment verification requests and works independently within established guidelines to manage complex fulfillment processes. The Enrollment Verification and Registration Technician provides responsive, student-centered service by clearly explaining Records & Registration policies, procedures, and requirements. This position requires professional and effective communication, providing timely, helpful, and complete information while ensuring questions and requests are addressed clearly and thoroughly. This position supports the operational continuity of the Records and Registration office by delivering in-person and remote service for a large volume of student requests. This position also serves as backup support for outgoing official transcript processing.
This position requires some regular in-person attendance at the Arnold Campus with travel to other locations as necessary to support office operations. During peak enrollment periods, the office is open for in-person service on Fridays and Saturdays.

Job Duties and Responsibilities
ENROLLMENT VERIFICATION PROCESSING:
Process enrollment verification requests received through in-person, electronic, email, and National Student Clearinghouse channels. Clearly and professionally explain enrollment-related policies and procedures while maintaining a high standard of student-centered service. Review enrollment activity, student records, documentation, and system data to verify enrollment status and ensure accurate reporting. Securely maintain and transmit verification documentation in accordance with institutional procedures and FERPA requirements.
ENROLLMENT VERIFICATION OPERATIONS:
Maintain complete and audit-ready documentation of verification requests and actions. Maintain verification logs, tracking records, documentation, and workflows to support timely and accurate processing. Use Ellucian Colleague, National Student Clearinghouse, Perceptive Content, and related systems for data entry, record review, imaging, and request tracking.
RECORDS AND REGISTRATION SERVICE OPERATIONS:
Deliver in-person and remote support for records and registration inquiries via phone, email, and virtual platforms. Maintain accurate academic records. Process and respond to high volumes of student interactions and requests, especially via email. Exercise professional judgment when handling confidential, time-sensitive, or complex inquiries. Assist students with registration using Colleague and Self Service platforms. Collaborate with academic and Student Services departments to resolve student issues. Troubleshoot registration issues and recommend solutions. Provide data entry and registration support during Personal Registration Days at local high schools.
STUDENT RECORD SECURITY & FERPA COMPLIANCE:
Protect the confidentiality and security of student records and ensure that access, use, communication, documentation, and disclosure of student information comply with FERPA, institutional policies, and data privacy requirements. Exercise appropriate discretion and professional judgment when handling sensitive information and escalate matters that fall outside of position authority.
SYSTEMS AND TECHNICAL SUPPORT:
Use and support Ellucian Colleague, National Student Clearinghouse, Perceptive Content, WaitWell, and related Records & Registration technologies and workflows. Serve as point of contact with external enrollment verification vendors and partners. Troubleshoot and resolve system integration or functionality issues related to enrollment verification operations. Participate in testing Colleague system upgrades and recommend improvements to enrollment verification processing practices by staying current with evolving technologies. Identify opportunities to improve workflow efficiency, accuracy, compliance, and the student experience.
OPERATIONAL CONTINUITY & OTHER DUTIES:
Serve as trained backup for outgoing official transcript processing, including related workflows, systems, and tracking as needed for operational continuity. Participate in college events, professional development, and other related duties as assigned by leadership in the Records and Registration Office.

Required Qualifications:
  • High School Diploma/GED
  • Minimum of two years of experience working effectively in a high-volume, fast-paced environment with minimal supervision, demonstrating strong attention to accuracy, detail, and meeting deadlines.
  • Strong computer and technical skills, including advanced knowledge of word processing, spreadsheets, and data entry in large relational databases.
  • Excellent oral, written, and interpersonal communication skills with the ability to interact tactfully and effectively with students, faculty, staff, and external partners.
  • Proven ability to maintain the confidentiality of student records and apply institutional policies, including a working knowledge and interpretation of the Family Educational Rights and Privacy Act (FERPA) regulations in daily work.
  • Strong critical thinking, analytical, and problem-solving skills with the ability to independently troubleshoot issues related to registration, student records, and transcript processing.
  • Demonstrated ability to manage multiple priorities and provide high-level customer service in both in-person and remote settings
Preferred Qualifications:
  • Associate degree or higher preferred.
  • Previous experience working in a Registrar’s Office or Enrollment Services.
  • Experience using Ellucian Colleague, National Student Clearinghouse, Parchment, and Perceptive Content systems.
  • Experience using Cisco Finesse VoIP or other call-routing phone system.
