Job Description
The Executive & Alumni Relations Coordinator provides administrative support to the Department Head and facilitates strategic engagement with alumni. This role manages daily executive operations, including scheduling, communications, and process documentation. while also developing and executing alumni outreach initiatives, event coordination, and communications that strengthen departmental connections with former students. The coordinator serves as a key liaison between the department, alumni, and university leadership, contributing to both operational efficiency and community-building efforts.
Skill sets necessary include writing for a variety of platforms and occasions, professionally interacting with partners across campus and external, audiences, and using a computer for writing, email, social media, and database queries. The successful candidate should have excellent organizational skills, creativity, flexibility, self-motivation, and attention to detail. The position requires a strong ability to navigate multiple and competing priorities in a dynamic environment. This individual is a member of the College of Engineering’s alumni relations as well as the Aerospace & Ocean Engineering Department’s administration team.
Specific work responsibilities include completing administrative tasks in support of the AOE Department Head including various ad-hoc assignments; conceptualizing, planning and executing engagement programs and events for alumni, students, and other external audiences; providing stewardship for departmental donors, supporting engagement of department board volunteers; communicating professionally with multiple internal and external audiences; and working with confidential data management software. The Executive and Alumni Relations Coordinator must follow established brand guidelines, university policies and procedures, and accessibility standards. The Executive and Alumni Relations Coordinator will need to work occasional evenings and weekends as well as travel periodically for alumni events. This position will work in close collaboration with the Advancement team who will provide functional guidance and support related to alumni relations efforts.
Required Qualifications
• Bachelor’s degree in a related field.
• Experience working with event planning in a professional setting.
• Experience meeting deadlines and navigating multiple projects simultaneously.
• Demonstrated experience with organizational/interpersonal interactions and the ability to thrive in a team setting. 
• Experience in written communication speaking to multiple audiences.
• Demonstrated computer skills.
• Strong attention to detail.
Preferred Qualifications
• Experience with developing, planning, and executing events for multiple audiences.
• Experience working with alumni or for a non-profit organization.
• Demonstrated work history Familiarity with Microsoft Office, Adobe Creative Suite, web Content Management System (CMS), and/or database system.
• Familiarity with graphic design software.
• Experience in a higher education, independent school, or non-profit environment.
