Job Summary
Provides direct administrative support to the office of the Chief Academic Officer at Huntsman Cancer Institute. Must be able to manage multiple competing interests and priorities with strict discretion and finesse. Strong verbal and written communication skills are quintessential to internal stakeholders and the community at large. In addition, strong self-motivation, task prioritization, superb organizational skills, and a solution-oriented approach with a positive attitude are vital assets for this position.
Huntsman Cancer Institute is part of the University of Utah Health Care system. It is a National (NCI)-Designated Comprehensive Cancer Center comprised of a broad base of scientific expertise, which is rapidly growing. Responsibilities | Essential Functions
Applicants must demonstrate the potential ability to perform the essential functions of the job as outlined in the position description: Maintains exceptional level of professionalism and discretion in managing complex issues and interactions. Resolves a variety of complex administrative problems for the institution leadership, faculty, staff, students, and the public entities. Manages schedule and organizes active and complex calendar and travel logistics for HCI’s Chief Academic Officer. Office reception, greeting guests, and facilitating meeting transitions. Provides administrative assistance for Chief Academic Officer of Huntsman Cancer Institute, including extensive meeting preparation, research and preparation of summary materials related to issues and events, travel itineraries, financial documentation. Maintains record of office operations, executive office functions, and assists with the development and implementation of department policies. Assists in planning and hosting visits of distinguished guests, tour groups, and events. Attends executive meetings as required, and documents meeting minutes. Works collaboratively with the leadership offices at HCI and University of Utah, including senior leadership and employees on assigned projects, events, and other assignments including both leading and support roles. Exempt position, requiring availability for the Chief Academic Officer during business hours and occasional evenings/weekends, as required. Problem Solving Incumbents use independent judgement in resolving various problems that involve faculty, staff, students and the general public. Must use judgement and discretion when advising others of the executive’s view on policies and other issues. This position initiates and has input in the hiring and employment decisions related to subordinate staff.
Operational knowledge of Microsoft Office and related computer software including Outlook, Power Point, and Word/Excel. Proficiency in Mac and PC computers. Must successfully pass related skills test.
Incumbents in this position may be required to represent the executive at meetings and interact with individuals at the highest levels in public and private organizations on a local and national basis.

Minimum Qualifications | Bachelor’s degree (or equivalency) in Business, Finance, Health Care Administration or a related field. Two years office management and supervisory experience, demonstrated knowledge of finance and budgeting, and public relations skills required. Demonstrated human relations and effective communication skills are also required.
EQUIVALENCY STATEMENT: 1 year of higher education can be substituted for 1 year of directly related work experience. (Example: bachelor’s degree = 4 years of directly related work experience.)
