Location: In Corporate office – Torrance, CA  

About the position: 
As an Executive/Personal Assistant, you will provide high-level support to the CEO, COO, and Vice President of Enterprise Planning, while also managing a variety of personal tasks for the CEO. Reporting to the VP of Enterprise Planning, you will oversee complex scheduling, coordinate both domestic and international travel, make restaurant reservations, plan activities, assist with events, and handle a wide range of errands and special projects. This role demands exceptional computer proficiency (especially in Microsoft Office), outstanding organizational skills, and the ability to multitask effectively in a fast-paced environment. The ideal candidate is proactive, curious, and driven—someone who anticipates needs, seeks solutions, and moves through each day with pace and purpose. A high level of discretion, a collaborative spirit, and a positive, can-do attitude are essential for success. Your attention to detail, strong work ethics, and seamless execution will help ensure smooth operations both at the office and in support of the CEO’s family, contributing meaningfully to the continued success and culture of WPS. 

Your Responsibilities: 

Executive Support: 
  • Provide high-level administrative support to the CEO, COO, and VP of Enterprise Planning
  • Manage complex and dynamic calendars, including scheduling meetings and appointments
  • Coordinate domestic and international travel arrangements, including flights, accommodations, and itineraries
  • Prepare materials for meetings, presentations, and follow-up tasks
  • Assist in planning and coordinating company events, meetings, and offsites
  • Communicate and collaborate with various members of the WPS team to ensure smooth operations
  • Maintain confidentiality and handle sensitive information with discretion
  • Support ad-hoc business-related projects and priorities as needed

Personal and Family Support: 
  • Coordinate personal travel for the CEO and family, including logistics and activities
  • Make restaurant reservations, and plan leisure activities
  • Run errands and complete a wide variety of personal tasks as requested
  • Liaise with vendors, service providers as needed for family
  • Assist with planning and execution of family events or celebrations as needed
  • Provide flexible support across changing priorities and needs, both professional and personal

Your Experience: 
  • 10+ years of experience in an Executive Assistant or Personal Assistant role, supporting senior executives and/or high-profile individuals
  • Proven ability to manage both corporate and personal responsibilities, including calendar management, travel coordination, and logistics
  • Demonstrated success in a fast-paced, high-demand environment with shifting priorities
  • Experience planning and coordinating domestic and international travel, including complex itineraries and last-minute changes
  • Prior experience making restaurant reservations, booking activities, and organizing personal events or appointments.
  • Strong proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); tech-savvy with comfort using productivity and scheduling tools
  • Exceptional organizational skills and attention to detail
  • Outstanding verbal and written communication skills, with a polished and professional demeanor
  • High degree of discretion and trustworthiness when handling confidential information
  • Experience working across departments and with external vendors, demonstrating strong interpersonal and relationship management skills
  • Self-starter mentality with a proactive, curious, and driven approach to problem-solving
  • Must have a valid driver's license and insurance
