Job Summary | Provide executive administrative support to the Vice President of Regional Campuses. Responsible for performing a multitude of administrative duties and task-oriented projects. Provide oversight and guidance to select projects, office management, calendars and budget. Maintain professional working relationships with the internal and external university community.
The annual salary for this position ranges from $64,000-$74,000. The final offer will be based on the candidate’s experience, qualifications, and overall fit for the role.
Essential Duties and Responsibilities Manage and coordinate the complex calendar and daily operations of the Vice President for Regional Campuses, prioritizing meetings related to the development of UTA West, UTA Fort Worth operations, and regional partnerships. Coordinate meeting logistics, prepare briefing materials, record minutes, and ensure effective follow-up on action items to support strategic decision-making. Provide administrative support for initiatives related to the planning, programming, and development of the UTA West campus. Assist with meeting coordination across university departments and external stakeholders, and maintain documentation related to campus planning, partnerships, and program development. Coordinate events, community meetings, campus visits, and outreach activities in Parker County, West Fort Worth, and surrounding areas to support UTA’s regional engagement and visibility. Assist with budget tracking and financial administration for the Office of Regional Campuses, including procurement, ProCard transactions, travel arrangements, personnel documentation, and coordination of administrative processes in accordance with UT System and university policies. Maintain accurate financial records and support reporting related to campus development initiatives. Manage daily office operations for the Vice President’s office, including coordinating correspondence, preparing executive communications, maintaining records in compliance with university policies, and ensuring smooth workflow across multiple projects and priorities. Handle sensitive and confidential information while supporting executive communications and reports
Minimum Qualifications | Associate degree. Five (5) years increasingly responsible administrative experience, supervisory experience, knowledge of digital tools and office software applications and demonstrated financial understanding of budget management.
Preferred Qualifications | Bachelor’s degree or equivalent. Six (6) or more years of increasingly responsible administrative experience, knowledge of digital tools, and other office software applications and demonstrated financial understanding of budget management. Experience with PeopleSoft/UT Share. Valid Driver’s License.
Knowledge, Skills and Abilities | Proven administrative and Microsoft Office skills. Excellent oral and written communication skills. Ability to multitask, organize, prioritize and work with initiative both independently and within a team environment. Attention to details, decision-making and problem-solving skills. Ability to maintain a high degree of confidentiality. Must be highly motivated and collaborative. Ability to managing a significant workload and prioritize tasks in a fast-paced office environment.
