Posting Context Statement The Executive Assistant I is responsible for providing academic and administrative support, and performing clerical duties for the Student Success Services and the Development team within the College of Engineering. This position serves as the primary point of contact between the College of Engineering and current or prospective students, as well as other stakeholders.
Position Overview This position performs complex support duties for administrators with a high degree of professionalism and adherence to strict confidentiality standards. Responsibilities include performing specialized administrative support including scheduling and coordinating meetings, appointments and events; making travel arrangements; researching, writing, and compiling data for reports and studies; preparing confidential reports and correspondence; organizing college visits for VIPs and special guests; and supporting planning and implementation of programs, special projects, and activities for which the administrator is responsible. The position serves as front-line point of contact for the Micron Student Center and the Engineering Advancement team.
Duties may include:Administrative and operational support:
Maintaining calendars, databases, confidential records and systems Providing administrative and logistical support Coordinating office operations and administrative functions; may monitor staff work activities Providing support for financial and/or personnel processes
Project and initiative support:
Distributing agendas, take notes, compile and distribute material, document task assignments Developing and maintaining positive liaison relationships with internal and external stakeholders including boards, committees and/or councils which the administrator participates in, leads and/or sponsors Supporting the strategic planning process
Information gathering and reporting:
Reviewing and screening incoming/outgoing correspondence and phone calls, referring as needed Researching and compiling information for communications such as talking points, speech scripts, responses to correspondence and presentations Coordinating a collection of data and materials for reports, records, and other administrative documents Other duties as assigned

Position Qualifications
Required Experience
Three years of providing administrative or business operations support Composing, proofing, and editing a variety of business documents, using proper grammar and punctuation as demonstrated in application materials Using computer software and applications for word processing, developing spreadsheets, email and internet research Balancing a workload of assigned tasks to meet multiple deadlines
Required Education | High School Diploma or equivalent
Required Other | Ability to occasionally work select evenings and/or weekends
Additional Preferred
Preferred Education: An Associate’s or Bachelor’s degree in a related field or an equivalent combination of education and/or experience that demonstrates knowledge and understanding of coordination, organization, facilitation, report analysis, writing, and promotion/outreach.
Experience in/with: Gathering and compiling data for reports Using computer information systems that manage an organization’s finances, business processes and/or records Editing and writing business correspondence using proper grammar and punctuation as demonstrated in application materials. Researching, gathering, and analyzing data, compiling and synthesizing information and drafting suggested correspondence, presentations, and reports. Working in an environment that requires adherence to strict confidentiality standards. Using Chrome River, Vandal Web and/or Banner
