About the Role

As Pursuit’s Part-Time Executive Assistant / Executive Operations Coordinator, you will support several members of our executive and leadership team and play a critical role in managing scheduling, coordination, and day-to-day executive operations across the organization. You will help ensure leaders are organized, meetings and priorities stay on track, and communication flows effectively across teams and external stakeholders.

This role will involve coordinating internal and external meetings, managing calendars, and supporting administrative workflows in a fast-paced environment. The ideal candidate is highly organized, proactive, resourceful, and comfortable managing multiple priorities simultaneously.

This is a part-time role requiring approximately 20–30 hours per week.

Key Responsibilities

Executive Calendar & Scheduling Management
Manage calendars and scheduling for multiple members of the executive team
Coordinate internal and external meetings across various stakeholders and time zones
Proactively identify and resolve scheduling conflicts
Coordinate with external partners, clients, and assistants to schedule meetings and events
Assist with conference, travel, and event logistics as needed
Help maintain organized scheduling systems and recurring meeting cadences
Communications & Correspondence
Assist with drafting professional communications and follow-ups on behalf of executives
Serve as a professional point of contact for internal and external stakeholders
Help coordinate and distribute meeting materials, presentations, and important documents
Support executive communication and organization across teams
Cross-Functional Operations & Administrative Support
Serve as a connector and coordinator across departments and leadership teams
Track action items, deadlines, and follow-up tasks from meetings and ongoing projects
Assist with expense tracking and reimbursement submissions
Organize and maintain shared documents, spreadsheets, and operational resources
Handle ad hoc research, logistical, and administrative requests as they arise
Support ongoing operational and administrative processes across the organization

Requirements

At least 2+ years of experience supporting executives, leadership teams, or business operations, preferably in a startup, nonprofit, or fast-paced environment
Exceptional organizational and planning skills, with the ability to manage multiple calendars and competing priorities simultaneously
Strong written and verbal communication skills; Ability to communicate professionally with a wide range of stakeholders
Proficiency in Google Workspace (Gmail, Google Calendar, Google Drive, Google Sheets)
High degree of discretion and judgment in handling sensitive information
Strong attention to detail and ability to work independently
Positive attitude, collaborative mindset, and willingness to jump in where needed

Where You’ll Work

This role allows flexibility with remote work. However, a hybrid work schedule is preferred if possible. Our current hybrid work schedule allows staff to work remotely Mondays & Fridays, and come into our Long Island City office on Tuesdays, Wednesdays, and Thursdays.

$30–35/hour
