About the Opportunity
We are currently seeking a seasoned Executive Assistant to directly support our CEO who is recognized as one of the top leaders in SaaS and a trailblazer in the EdTech industry. This role offers a unique opportunity to work closely with Ellucian’s executive leadership, providing strategic administrative support and ensuring the CEO’s day-to-day operations run with precision and efficiency.
This position requires exceptional organizational and written communication skills, sound judgment, discretion, and the ability to thrive in a fast-paced, high-visibility environment. Success in this role hinges on being intuitive, adaptable, detail-oriented, and professionally poised—with the ability to anticipate needs, connect dots, and think several steps ahead. Flexibility and responsiveness to shifting priorities are essential.
The ideal candidate is a proactive, strategic partner who is comfortable interfacing with senior executives, board members, business partners, and internal stakeholders—always upholding the highest level of tact, confidentiality, and professionalism in a dynamic and high-performing environment.
Where you will make an impact
- Calendar Management: Proactively manage the CEO’s schedule, ensuring meetings are prioritized and time is optimized—with all meeting details (agendas, attendees, prep materials, locations, and objectives) clearly communicated and confirmed in advance.
- Travel Coordination: Plan complex domestic and international travel, including flights, accommodations, ground transportation, and itineraries—while thinking through all logistics and building in backup options and contingency plans to minimize disruption and ensure smooth execution.
- Event & Meeting Preparation: Coordinate key meetings, customer visits, offsites/onsites, and all-hands sessions; prepare agendas, presentations, take meeting notes, and track action items.
- Stakeholder Communication: Serve as liaison between the CEO and internal/external stakeholders; maintain positive relationships with board members, executives, clients, and partners.
- Confidential Information Management: Maintain and organize sensitive materials, records, and communications with discretion and efficiency.
- Special Projects: Support strategic initiatives and ad hoc projects; conduct research, analyze data, and prepare briefing materials to support decision-making.
What you will bring
- 10+ years of experience supporting C-level executives in a complex, matrixed, and global environment; direct experience supporting a CEO is strongly preferred.
- Proven experience supporting board-level interactions and communications.
- Strong written and verbal communication skills, with a sharp attention to detail.
- Highly organized with exceptional time management and prioritization abilities.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint), Outlook, and other business tools.
- Comfortable working under pressure, managing multiple priorities, and adjusting quickly to change.
- Discreet, professional, and trustworthy with sensitive information.
- Highly resourceful, solutions-oriented, and capable of anticipating roadblocks and proactively solving problems.
